Position Overview

The NHS Hertfordshire and West Essex Integrated Care Board is seeking a dedicated and adaptable individual to enhance the administrative operations within the Continuing Healthcare (CHC) department. This role is integral to the administration team, ensuring the delivery of a streamlined and effective support service.

Key Responsibilities

The successful candidate will provide comprehensive administrative assistance to the NHS Continuing Healthcare team, facilitating their ability to perform their duties efficiently. Responsibilities will encompass:

  • Maintaining and refining administrative systems to support the NHS Continuing Healthcare process, ensuring a high-quality, patient-centered service.
  • Coordinating and managing referrals and ongoing cases, assisting the clinical team in overseeing the caseload of individuals eligible for NHS Continuing Healthcare.
  • Working independently to meet deadlines while demonstrating initiative and a flexible approach to changing priorities.

Work Environment

This role demands the ability to thrive in a dynamic and fast-paced setting, requiring the post holder to manage a variety of tasks while balancing competing demands. Key activities will include:

  • Organizing and documenting meetings, managing overlapping deadlines, and utilizing internal databases alongside general office administration.
  • Engaging with the public in a clear and empathetic manner, showcasing excellent organizational and communication skills.

Service Coordination

The role involves:

  • Coordinating a comprehensive service for individuals referred to the CHC team.
  • Providing administrative support to the team in a professional and adaptable manner, while maintaining a focus on patient needs.
  • Acting as a point of reference for inquiries from the public, patients, relatives, Adult Social Care, nursing homes, and other external agencies regarding non-clinical CHC queries.
  • Delivering high-quality office and administrative support services to the department.

Compensation

This position includes a High Cost Area Supplement of 5% of the basic salary, subject to minimum and maximum annual payments in accordance with established guidelines.

Qualifications and Skills

Essential Requirements

  • NVQ Level 3 in a relevant field or equivalent qualifications/experience.
  • Significant experience in administrative or secretarial roles, including the establishment and maintenance of office systems.
  • Proven ability to handle sensitive and confidential information while interacting with the public.
  • Intermediate proficiency in IT systems and software, including Outlook, Word, Excel, PowerPoint, and Access.

Communication Skills

  • Experience in minute-taking.
  • Strong communication skills, with the ability to convey clear information and instructions to staff and service users.
