Overview of the Position:

Primary Duties:

  • Welcome and assist clients and guests in a friendly and professional manner.
  • Register clients and manage appointment scheduling through the designated software.
  • Handle incoming phone calls and route them to the appropriate personnel or department efficiently.
  • Maintain and accurately update client records and databases while ensuring confidentiality.
  • Actively engage in team meetings, training sessions, and other collaborative activities as needed.
  • Support clients with inquiries, appointment arrangements, and any immediate assistance they may require.
  • Ensure the reception area is clean, organized, and provides a welcoming environment.
  • Comply with organizational policies, procedures, and confidentiality agreements at all times.
  • Take precise minutes during team meetings and other relevant discussions.

Candidate Profile:

  • Demonstrated experience in customer service or a related field, ideally within a healthcare or social services environment.
  • Exceptional interpersonal and communication skills, both verbal and written.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Proficient in using computers and office applications (e.g., MS Office suite).
  • A caring and empathetic attitude with a commitment to helping others.
