Job Overview

POSITION SUMMARY

Owen Reed is seeking a dedicated Client Services Coordinator to become a vital part of our esteemed legal team. This role will report directly to the Team Leader within the Secretarial Services Division.

Working Hours: 8.30am – 6.30pm on a rotational basis, with a commitment of 7 hours per day.

Role Summary:

This position is designed for a proactive and skilled Client Services Coordinator who thrives in a dynamic and high-pressure environment. As a member of a centralized team, you will be responsible for managing essential compliance and billing administration related to client matters. Your role will involve taking ownership of various tasks and playing a crucial part in fulfilling all routine and daily requests associated with compliance and billing operations.

KEY RESPONSIBILITIES

Oversee the Client Inception Module (CIM), collaborating with Executive Assistants, Legal Secretaries, and fee earners as needed, ensuring all activities comply with risk and compliance standards, including:

  • Completing the CIM in the designated system, gathering initial documentation in accordance with the Compliance Team's guidelines;
  • Coordinating with the Compliance Team and fee-earning teams to finalize the process.

Conduct conflict checks in the system, which includes:

  • Sending conflict check notifications to the appropriate distribution group;
  • Ensuring that results are reviewed by the matter Associate;
  • Saving all relevant correspondence to the matter file;
  • Assisting with case-related tasks, such as drafting engagement letters and maintaining client and matter data within the case management system;
  • Producing initial drafts of engagement letters and coordinating with the matter Associate to ensure completion, signature, and dispatch to the client, while ensuring all signed documents are appropriately filed;
  • Organizing and maintaining both physical and digital files related to your areas of responsibility.

Manage billing processes, which includes:

  • Generating narratives from the system for the Executive Assistant;
  • Participating in internal meetings with the Executive Assistant;
  • Printing WIP reports and billing guides for the team;
  • Closing relevant files from the WIP list;
  • Preparing file closure documentation;
  • Collaborating with the billing team to produce necessary documentation and reports, while prompting fee earners to complete all required paperwork;
  • Facilitating client communications;
  • Printing billing letters, obtaining Partner signatures, scanning documents for filing, and marking bills as 'sent' in the system;
  • Working closely with the accounts team and adapting to any changes in billing processes;
  • Coordinating with relevant departments regarding billing, following up on bills, KYC, file openings, and payments;
  • Ensuring deadlines are met through effective time and workload management;
  • Demonstrating a proactive approach to problem-solving and identifying issues for escalation;
  • Assisting with the creation of new clients and file openings, including transaction and development tasks;
  • Creating and adding client parties, scanning certified AML documents, submitting due diligence, and completing compliance checklists.
