Office Reception Specialist (Part Time)

Salary: Competitive annual salary plus company benefits

Contract: Part Time, permanent

Work model: Fully onsite due to the nature of the role

Shifts: 15 hours per week, Thursday & Friday, 9:00 am - 5:30 pm, with a 1-hour unpaid lunch break. Rotational shifts may require occasional cover around the hours of 8:00 am - 5:30 pm.

Role Overview

The Office Reception Specialist serves as the initial point of contact for visitors to our client's office, embodying the brand's image. This position entails greeting clients and guests, fostering a welcoming atmosphere, and ensuring a positive first impression. Responsibilities include managing switchboard communications, providing administrative assistance, and delivering exceptional customer service.

It is essential to possess the ability to establish rapport with individuals easily. Timely handling of urgent tasks and effective multitasking are crucial for success in this role. This is a hands-on position requiring collaboration with team members to ensure seamless service delivery.

Key Responsibilities

  • Deliver outstanding service to staff and guests, surpassing their expectations and resolving queries effectively.
  • Greet visitors with exemplary customer service, managing guest sign-ins and issuing access credentials as authorized.
  • Maintain high standards of corporate service, including organizing client meetings and events.
  • Oversee onsite parking arrangements for clients and visitors.
  • Provide IT equipment support in collaboration with other departments.
  • Work closely with the hospitality team to ensure the smooth execution of daily requests, demonstrating flexibility and a willingness to assist colleagues.
  • Coordinate with the Office Services team for printing needs related to client meetings and events.
  • Manage various administrative tasks.
  • Respond promptly to telephone and email inquiries, particularly switchboard calls and related queries.

Personal Attributes

  • Previous reception experience is essential.
  • Proficient in written and spoken English.
