Executive Administrative Coordinator (Product) | Remote (UK-based)

We are looking for a skilled Executive Administrative Coordinator to provide comprehensive support to senior management. This position requires a proactive approach to ensure seamless operations and promote a collaborative workplace. The successful candidate will be detail-oriented and adept at juggling various tasks in a dynamic environment.

Key Responsibilities:

Calendar Oversight: Manage intricate calendars effectively, making informed scheduling decisions that align with business priorities.

Project Leadership: Drive operational and personnel-related initiatives for executives, organizing meetings, monitoring progress, and promoting best practices within the team.

Event Coordination: Expertly arrange team meetings and corporate events, including agenda preparation, presentation development, action item tracking, and comprehensive meeting documentation.

Communication Management: Develop clear and impactful communications for executives, including team updates and follow-ups, while overseeing management of communication channels and organizational charts.

Relationship Building: Cultivate strong connections with team members and cross-departmental partners through innovative engagement strategies.

Travel Coordination: Organize travel arrangements for executives and ensure timely expense reporting in compliance with company policies, while managing the employee recognition budget and suggesting reward options.

Collaboration: Work closely with fellow administrative professionals to meet business requirements efficiently.

Qualifications:

  • Minimum of 4 years in administrative positions, with at least 2 years supporting senior executives.
  • Exceptional organizational and multitasking skills.
  • Self-motivated and capable of working independently.
  • Proficient in Google Suite, Slack, Workday, Expensify, Navan, and MS Office Suite.
  • Strong collaboration and teamwork abilities.
  • High level of integrity in managing confidential information.
  • Experience supporting multiple senior executives, particularly in engineering or product sectors.
  • Strong emotional intelligence and situational awareness.
  • Outstanding time management skills, especially in calendar oversight, travel planning, and event organization.
  • Flexibility to work hours that accommodate different time zones.
