Role Summary:

As an Administrative Business Partner, you will play a pivotal role in supporting leadership within the Product team. Your responsibilities will encompass a variety of administrative functions aimed at enhancing operational efficiency and fostering a collaborative environment.

Key Responsibilities:

  • Calendar Coordination: Manage intricate calendars with precision, making informed scheduling decisions that align with business priorities.
  • Project Leadership: Drive operational initiatives and team-related projects, facilitating meetings, tracking progress, and promoting best practices.
  • Event Planning: Organize team meetings and events, including agenda preparation, presentation development, action item follow-up, and comprehensive meeting documentation.
  • Effective Communication: Develop clear and impactful communications for leadership, including team updates and follow-ups, while managing organizational charts and communication channels.
  • Relationship Building: Cultivate strong partnerships with team members and cross-functional stakeholders through innovative engagement strategies.
  • Travel Coordination: Oversee travel arrangements and expense management, ensuring compliance with policies and alignment with team requirements.

Collaborate closely with fellow administrative partners to ensure that business needs are met efficiently and effectively.

Candidate Profile:

The ideal candidate will possess:

  • A minimum of 4 years of administrative experience, including 2 years supporting senior executives.
  • Exceptional organizational skills and the ability to multitask in a dynamic, deadline-oriented environment.
  • A proactive approach to task ownership, even in ambiguous situations.
  • Proficiency in tools such as Google Suite, Slack, Workday, and MS Office Suite.
  • A commitment to confidentiality and integrity in handling sensitive information.

Essential Skills:

  1. Experience managing multiple executives simultaneously, particularly in product or engineering settings.
  2. Strong situational awareness and emotional intelligence.
  3. Proven organizational and time management skills, particularly in calendar management and event coordination.
