The Executive Administrative Coordinator will play a vital role within the Executive Director's team, ensuring seamless collaboration and operational efficiency. This position involves close collaboration with multiple Executive Directors while also supporting the Head of Executive Support and the Executive Assistant. The Coordinator will serve as a primary contact for engagement, communication, and administrative tasks across the Directorates, contributing significantly to the effective management of operations and processes. Fostering a culture of teamwork, compliance, and exceptional customer service is essential for this role.

This position is mainly office-based, with occasional opportunities for remote work.

Key Responsibilities

  • Providing comprehensive administrative support for Directors, including scheduling, calendar management, communication, and various administrative tasks.
  • Managing schedules, appointments, and serving as the initial point of contact for inquiries and requests.
  • Preparing Directors for meetings, organizing pre-meetings, and offering valuable insights.
  • Building strong relationships within the Directorate and the broader organization, proactively identifying solutions.
  • Assisting with administrative tasks for Directors and teams, including recruitment activities.
  • Handling general administrative duties such as processing expenses, invoices, and arranging travel.
  • Upholding confidentiality in all communications.
