We are looking for a skilled Administrative Business Partner to provide exceptional support to senior management. Key Responsibilities:
Calendar Oversight: Manage intricate calendars with precision, making informed scheduling decisions that align with business priorities.
Project Coordination: Lead operational and personnel-related initiatives for executives, facilitating meetings, tracking progress, and implementing best practices within the team.
Meeting and Event Coordination: Organize team meetings and events, including agenda preparation, presentation creation, action item documentation, and comprehensive meeting notes.
Effective Communication: Develop clear and impactful communications for executives, including team updates and follow-ups, while managing organizational charts and communication channels.
Relationship Building: Cultivate strong partnerships with executive teams and cross-functional collaborators through innovative engagement strategies.
Travel and Expense Management: Coordinate travel arrangements for executives and ensure accurate expense reporting, while adhering to company policies and aligning with team requirements.
Organizational Communication: Maintain up-to-date communication channels within the organization.
Collaboration: Work closely with fellow administrative partners to meet business needs efficiently.
Qualifications:
- 4+ years of experience in administrative roles, with at least 2 years supporting VP and Director-level executives.
- Exceptional organizational and multitasking skills.
- Self-motivated and able to work independently with minimal supervision.
- Proficient in Google Suite, Slack, Workday, Expensify, Navan, and MS Office Suite.
- Strong collaboration and teamwork abilities.
- High level of integrity in managing confidential information.
- Experience supporting multiple executives, particularly in engineering or product environments.
- Strong emotional intelligence and situational awareness.
- Outstanding organizational and time management skills, especially in calendar management, travel, and event planning.
- Flexibility to work a schedule that accommodates US hours, including evenings.
