Business Operations Department

As part of the Vantage Operations team, the Business Operations department is tasked with upholding operational performance standards, managing customer leases, generating monthly utility bills, producing regular reports, and enhancing Operational Effectiveness. This department collaborates closely with all Vantage divisions to ensure customer success from the construction phase through to daily operations and service delivery.

Position Overview

This position can be located in any of our North American offices, aligning with our flexible work policy (3 days on-site required, 2 days flexible).

Vantage is in search of a motivated, detail-oriented Billing and Reporting Specialist to oversee and optimize the utility billing and reporting processes across all markets. You will take the lead in managing the end-to-end utility billing workflow, ensuring that monthly billing Key Performance Indicators are achieved. Your responsibilities will encompass all aspects of utility billing verification and approval, reporting, compliance, capital calculations, and expense-to-revenue variance analysis.

Key Responsibilities

Billing Process Management:

  • Oversee the monthly utility billing review and approval process.
  • Coordinate the creation of Sample Bills and validate new billing meters in newly developed areas.
  • Ensure adherence to Vantage standards and customer lease agreements.
  • Utilize Vantage tools to request, monitor, review, and approve billing.

Policy and Procedure Development:

  • Establish and implement documented policies and procedures governing the utility billing process.
  • Assist in the design and deployment of a new billing engine, leading all facets of its successful implementation.

Quality Assurance and Compliance:

  • Plan and execute quality assurance measures for all billing activities.
  • Verify the accuracy of monthly utility bills and address issues with utility providers as necessary.
  • Participate in internal and external audits of the utility billing process to ensure compliance.

Reporting and Analysis:

  • Develop and utilize financial and statistical reports and dashboards.
  • Create monthly Key Performance Indicator dashboards related to billing and Data Center Power Usage Effectiveness (PUE).
  • Analyze changes in programming related to customer utility billing statement templates.
  • Conduct expense-to-revenue variance analysis and monitor capital expenditures.

Customer and Team Collaboration:

  • Regularly interface with the Vantage Accounts Payable and Finance teams.
  • Engage with customers regarding the utility billing process, ensuring their needs are addressed and issues are resolved.
  • Attend project meetings for construction developments and expansions, providing billing-related insights and updates.

Process Enhancement:

  • Streamline the utility billing process, identifying areas for improvement and implementing effective solutions.
  • Facilitate planning and status meetings for billing activities.
  • Ensure customer compliance and satisfaction with the billing process.

Additional Responsibilities:

  • Perform additional duties as assigned by management.

Qualifications

Education:

  • Bachelor's degree in Accounting, Finance, Business Management, or equivalent experience required.

Experience:

  • Minimum of 2 years of experience in billing or accounting required.
  • Data Center experience is highly preferred, but not mandatory.
  • Experience in contract management, request-based ticketing systems, or graphical interface reporting software is advantageous.

Skills:

  • Understanding of power metering, kilowatt-hours (kWh), and power flow dynamics.
  • Ability to think critically, resolve issues, and drive efficiencies using metrics and data.
  • Proficient in problem-solving, mathematics, and Microsoft Excel calculations.
  • Skilled in statistics and other concepts relevant to billing operations.
  • Responsive and adaptable to thrive in a fast-paced, collaborative team environment.
  • Successful candidates must be excellent team players, capable of working with diverse individuals across departments.
  • Travel may be required, expected to be up to 5%, but could increase as the business evolves.

Additional Information

  • Salary Range: $70,000 - $80,000 Base + Bonus (this range is based on Colorado market data and may vary in other locations).
  • This position is eligible for company benefits including but not limited to medical, dental, and vision coverage, life and AD&D, short and long-term disability coverage, paid time off, employee assistance, participation in a 401k program with company match, and various additional voluntary benefits.
  • Compensation for the role will depend on several factors, including qualifications, skills, competencies, and experience, and may fall outside the range shown.
