Business Operations Division
Within the Vantage Operations team, the Business Operations division is tasked with maintaining operational performance standards, managing customer leases, generating monthly utility bills, producing regular reports, and enhancing Operational Effectiveness. This division collaborates closely with all departments at Vantage to ensure customer satisfaction from the construction phase through to daily operations and service delivery.
Position Summary
This position can be located in any of our North American offices, with a flexible work policy that requires three days on-site and two days remote.
Vantage is seeking a motivated and detail-oriented Utility Billing and Reporting Coordinator to oversee and optimize the utility billing and reporting processes across all markets. You will take the lead in managing the end-to-end utility billing workflow, ensuring that monthly billing Key Performance Indicators are achieved. Your responsibilities will include utility billing verification and approval, compliance reporting, capital calculations, and analyzing expense-to-revenue variances.
Key Responsibilities
Coordination of Billing Processes:
Oversee the monthly utility billing review and approval workflow. Manage the creation of Sample Bills and validate new billing meters in newly developed areas. Ensure adherence to Vantage standards and customer lease agreements. Utilize Vantage tools to request, monitor, review, and approve billing.Implementation of Policies and Procedures:
Develop and enforce written policies and procedures governing the utility billing process. Assist in the design and deployment of a new billing engine, leading all aspects of its successful implementation.Quality Assurance and Compliance:
Plan and execute quality assurance measures for all billing activities. Confirm the accuracy of monthly utility bills and address any discrepancies with utility providers as necessary. Participate in both internal and external audits of the utility billing process to ensure compliance.Reporting and Analysis:
Develop and utilize financial and statistical reports and dashboards. Create monthly Key Performance Indicator dashboards related to billing and Data Center Power Usage Effectiveness (PUE). Analyze changes in programming for customer utility billing statement templates. Conduct variance analysis between expenses and revenues and track capital expenditures.Customer and Team Collaboration:
Regularly interact with the Vantage Accounts Payable and Finance teams. Engage with customers regarding the utility billing process, ensuring their needs are addressed and issues resolved. Attend project meetings related to construction and expansions, providing insights and updates related to billing.Process Enhancement:
Streamline the utility billing process, identifying areas for improvement and implementing effective solutions. Organize planning and status meetings for billing activities. Ensure customer compliance and satisfaction with the billing process.Additional Responsibilities:
Perform additional tasks as assigned by management.Job Qualifications
Education:
Bachelor’s degree in Accounting, Finance, Business Management, or equivalent experience is required.Experience:
Minimum of 2 years of experience in billing or accounting is required. Experience in a Data Center environment is preferred but not mandatory. Familiarity with contracts management, request-based ticketing systems, or graphical reporting software is advantageous.Skills:
Understanding of power metering, kilowatt-hours (kWh), and power flow dynamics. Ability to think critically, solve problems, and drive efficiencies using data and metrics. Proficient in problem-solving, mathematics, and Microsoft Excel. Strong statistical knowledge and understanding of billing operations. Adaptable and responsive in a fast-paced, collaborative team environment. The ideal candidate will be an excellent team player, capable of working with diverse individuals across departments. Travel may be required, expected to be up to 5%, with potential increases as the business evolves.Physical Requirements and Special Considerations

Additional Information
Salary Range: $70,000 - $80,000 Base + Bonus (this range is based on market data and may vary in other locations) This position is eligible for company benefits including but not limited to medical, dental, and vision coverage, life and AD&D insurance, short and long-term disability coverage, paid time off, employee assistance programs, participation in a 401k plan with company match, and various additional voluntary benefits.
