Job Summary:

We are seeking a highly organized and detail-oriented Office Administrator to join our team at March of Dimes Canada. As an Office Administrator, you will provide administrative support to our Accessibility Services department, ensuring the smooth operation of our office and the delivery of high-quality services to our clients.

Key Responsibilities:

  • Provide administrative support to the Accessibility Services department, including data entry, office equipment maintenance, and record-keeping.
  • Manage office communications, including correspondence, reports, and other documents.
  • Assist with HR processes, including new hire onboarding and payroll administration.
  • Order equipment and supplies for the Accessibility Services department.
  • Prepare and maintain accurate records, including data entry and office equipment maintenance.
  • Meet and greet visitors to the office and prepare for meetings.
  • Administer HR processes for new hires and onboarding for Accessibility Services staff.
  • Process payroll, pay invoices, and set up new vendors for Accessibility Services staff.
  • Pull weekly and monthly reports for the Accessibility Services Management team.
  • Provide direct administrative support to the Accessibility Services Management team.

Requirements:

  • Post-secondary degree or previous office administrative experience.
  • Effective communication skills, including the ability to listen actively, explain complex information clearly, and maintain open lines of communication both verbally and in writing.
  • Time management and organizational skills, including the ability to support multiple clients and perform various tasks simultaneously.
  • Assessment and problem-solving skills, including the ability to assess clients' needs, identify problems, and develop effective solutions.
  • Empathy and compassion, including the ability to demonstrate empathy and compassion to help clients feel understood and supported.
  • Cultural competence, including the ability to work with diverse populations and build trust and deliver effective services.
  • Collaboration and adaptability, including the ability to work as part of a team and adapt to shifting circumstances and evolving needs.

Working Conditions:

This is a full-time position with a hybrid work policy. March of Dimes Canada has a mandatory COVID-19 vaccination policy, and all employees must be fully vaccinated against COVID-19 by receiving all required doses of a vaccine approved by Health Canada at least 14 days prior to the commencement of their employment.
