Imperial College Health Centre are hiring for a Patient Services Administrator to join the team.

**Job Type**: Full-time, Permanent

**Salary**: £12.30-£14.50 per hour depending on experience

**Introduction**

The successful applicant will be part of our primary care administration team providing NHS health services to our patients. They will ensure that all communications, documentation, tasks, and prescriptions are completed in accordance with agreed procedures, protocols and time-scales. They will also be working alongside the clinical and administration team to manage all face to face, telephone and digital services for our patient population.

The main parts of the role include;
- Task Management - managing practice task system, communicating with patients and colleagues to arrange services and meet patient’s needs.
- E-consultation management - troubleshooting, answering patient queries and working alongside the clinical team to manage electronic consultations.
- Prescriptions - managing prescription requests, and communicating with pharmacies, patients and clinicians.

There will be opportunities to develop and take on more responsibilities for those eager to learn and progress.

**Expectations from Applicants / Person Specification**

Having computer skills and being able to learn new systems will be essential for the role. The role requires individuals to be efficient and productive throughout the day.

Applicants do not require past NHS experience as training can be provided.

**About the Practice**

We are a large NHS GP Practice situated on the Imperial College campus near South Kensington station with London sights such as the V&A, Royal Albert Hall, Natural History Museum, and Science Museum a couple of minutes’ walk away. We have a committed and enthusiastic multi-disciplinary team that care for the students at Imperial College and the Royal College of Music as well as a local resident population. We aim to deliver the best quality care to our patients through innovation, new technologies and quality improvement. Everybody in the team has the chance to contribute to the development of the practice.

We have a large clinical team consisting of GPs, Practice Nurses, HCAs, Mental Health Practitioners, Cognitive Behavioural Therapists, Psychotherapists, Physiotherapists, a Psychiatrist, Clinical Pharmacist and a Life Coach.

Full time working hours of 7 hours per day, Monday to Friday, on shift between 08.00 - 18.30.

**Job Description Patient Services Administrator**

**Responsible to: The Practice Manager**

**Job Summary**:
The post holder will be responsible for managing all electronic and paper clinical documents, e-consultations (PATCHS), and clinical tasks. The post holder will provide support for the Patient Coordinators, administrative and secretarial team when required.

**Document administration**
- To ensure all communications between patients, the practice and other health providers is accurately recorded in the patients’ record
- To distribute appropriate communications (e.g. clinical letters) to the relevant clinician / administrator
- To assist with the coding of letters and other communication
- To highlight communications that contain changes in medications, on-going referrals requests or other issues requiring action
- To review communications and ensure all patient contact details are up to date
- To provide training to deputies
- To complete quarterly audits of document management

**Task administration**

The practice team communicates with one another and other external providers via the clinical task system. The post holder will be required;
- To review and act on all administration tasks daily. Example tasks include arranging appointments with patients / carers, sending documents/test results, managing prescription queries, and updating contact details / registration status
- To review all tasks for the practice and ensure all tasks are being completed in a timely manner
- To provide training to deputies
- To complete quarterly audits of all tasks
