**Aims and Objectives**:
As a Data entry administrator, you will be dealing directly with FI Client issues and ensuring that all issues are passed on directly to the relevant Regional Facilities Manager.
Working closely with the RFMs Management Team to help produce procedures, spread sheets and policies within FI Facilities Management, and to help deliver a more effective way of operating, including (when required) PA cover which include but are not limited to: Telephone calls/E-mails/ job sheets/Materials/Fleet/Tradesmen/Office/H&S/All systems referring to expenses/ travel and Training.
**Role and Responsibilities**

- Weekly Movements for RFMs
Finance
- Qube Administration
Office
- Holiday management.
- W-Drive/Property Plus monitoring
**Administration Duties**:
- Supplier and contractor administration
- Filter incoming telephone calls.
- Logging all in house works, Inc. Orders/invoices/job sheets/time sheets/materials for each job.
- Fleet management - insurance, MOT’s, Repairs
- To create/maintain working documents within company for reporting to clients i.e. Spreadsheets/reports/budgets.
- Use of Internet to search new suppliers/contractors.
- Collating the approved/preferred contractors list and maintaining and updating their compliance
**Daily operating/understanding of**:
- Location of FI Facilities Management staff.
- Client’s queries on current position of works etc.
- Calls/E-mails/mail/orders/invoicing/ordering materials/checking on tradesmen.
- Assist on monitoring expenditure to all jobs.
- Qube Management - Liaise with finance (Purchase Ledger) ensure works/invoicing is tracked from instruction to completion.
The above is not an exhaustive list of duties and you will be expected to perform different tasks as necessitated by your changing role within the organisation and the overall business objectives of the organisation.
