**_Recra are working in partnership _**with a leading food manufacturer based in Leicester, who are looking to recruit a HR Admin Assistant to join their great team on a Permanent basis.

**Purpose**:
To assist with the effective running of the HR department

**Health and Safety**:

- Challenge or alert a manager if you see someone in the building you do not recognize and who is not wearing a visitor pass
- Responsible for ensuring compliance with Company Health and Safety policies and procedures at all times
- Attend relevant training courses including Health and Safety, Company induction and Manual Handling
- To comply with the Company’s ‘Life Saving Rules’ at all times
- Ensure that all health & safety requirements are met by everyone
- Use the correct PPE as required by the company
- Ensure health and safety of your work area
- Be responsible for own safety and for that of others working on site
- Report any accidents or near misses immediately to your line manager

**Food and Safety Hygiene**:

- Responsible for ensuring compliance with Company Food Safety, GMP and Hygiene policies and procedures at all times
- Ensure cleanliness and tidiness of your work area adopting a ‘clean as you go’ policy
- Attend relevant training courses including Food Safety training

**Main Responsibilities**:

- Maintain and input data onto the ADP HR System, this includes New Starters, Leavers, employment and shift changes etc.
- Generate reports including, headcount, absence and other ad hoc enquiries
- Ensuring all Return to Work and other related paperwork is processed and updated on the Absence Log accordingly
- Highlighting any concerns or trends to the appropriate Manager
- Ensuring all employee right to work checks are completed before their expiry date and logged on the Visa Details spreadsheet
- Occupational Health - Coordinating the on-site Occupational health supplier, arranging appointments and liaising with provider and relevant departments, ensuring any subsequent actions are taken, in line with the Compliance Health Assessment spreadsheet
- Managing referrals of Long Term
- Completing administration tasks for the department ensuring all records are accurate and up to date
- To be a recruitment champion - running recruitment campaigns without the use of Agencies. Assisting the HR Manager in design and delivery of assessment centers and onboarding procedures
- Ensure all Job Descriptions are up to date and accurate
- Ensure the prompt return of all new starter paperwork and internal contract and job descriptions.
- Issuing correspondence in relation to probationary reviews, ensuring all reviews are carried out on time
- Advising staff in relation to eligibility to staff benefits
- Provide support to managers in disciplinary and grievance investigations and hearings ensuring accurate notes are maintained
- Meeting chair or minute taker in meetings as directed by the HR Manager
- Administration of pension, life assurance and healthcare schemes including joiners and leavers and take responsibility for ensuring processing any changes/updates and updating ADP.
- Assist in preparation of information for 4 weekly and monthly payrolls, liaise with Accounts department during processing and work closely with the Payroll team
- Deal with any payroll queries as necessary
- Prepare and maintain KPI’s for sickness/absence, agency/contractor hours and labour turnover on a monthly basis for the Group HR Director.
- Any other duties or ad hoc projects as directed by the HR Manager

**Skills Needed**:

- Ensure compliance with all HR policies and procedures at all times
- Excellent organisational, administration and numeracy skills
- Excellent people skills with the ability to communicate at all levels
- Able to react in a calm and professional manner in difficult situations
- Flexible and able to adapt and react to problems as they arise
- Strong attention to detail
- Ability to process sensitive data in a professional manner and maintain confidentiality at all times
- Up to date knowledge of employment law
- Computer literate (Word, Excel, ADP HR, Payroll, Time & Attendance)
- Ability to prioritise and manage own time

**The hours are flexible between 8.00 a.m. and 5.30 p.m.**
