Administrative Officer

Complete attendance daily including any first day absence calls.
To ensure the electronic registration system is updated daily investigating any missing data with class teachers.
Maintaining on a daily basis accurate student attendance records and late arrivals on SIMS,
Contacting parents/carers regarding unexplained absences/lateness - including first day calling.
To monitor the attendance of students referring any concerns to the Year Group Leaders or Heads of School.
To assist in the smooth running of the school office promoting a warm and welcoming environment for staff parents and visitors to the school.
To process and action student holiday requests with the Executive Headteacher or Heads of School
To issue routine correspondence to parents/carers regarding attendance/absence requests in accordance with the school procedure.
Responsible for identifying attendance issues and patterns of absence/late arrivals.
Contact with parents over all aspects of attendance including written correspondence when required.
Produce attendance reports for Heads of school when required
Liaise with external agencies over persistent absence or other attendance issues. To produce the schools weekly newsletter and send to all parents, staff, and Trustees
To raise and maintain all purchase orders within the school
Photocopying/laminating, when required.
You will, from time to time, be required to undertake other activities of a similar nature that fall within your capabilities as directed by the Executive Headteacher or Heads of School
Carry out routine administration procedures including:
Handling incoming and outgoing post;
Maintaining and collating pupil reports;
Maintaining stocks and supplies and distributing materials across the Authority;
General financial administration, e.g. processing orders for equipment and supplies;
Arranging and/or undertaking, document production services.
Assist with arrangements for school trips and events.
Participate in training and development activities and programmes, and attend and participate in meetings as required.
Complete standard forms, respond to routine correspondence, and maintain manual and computerised records and management information systems.

**Essential characteristics /Qualifications**
At least grade C GCSE or equivalent in English and Mathematics

Good organisation skills, ability to multi-task, prioritise effectively and work to tight deadlines
Strong work ethic

Ability to work well as part of a team
Flexibility in approach to completion of work
Ability to prioritise work under pressure and meet deadlines when required
**Knowledge and Skills**
Excellent interpersonal and organisational skills
Knowledge of SIMS is essential
PS Financial system (training will be given)
Attention to detail and a good level of numeracy
Strong ICT skills, including the use of spreadsheets and data entry
Knowledge and understanding of school policies and procedures
**Experience and Training**
- Willingness to undertake appropriate training and professional development
- Experience of working in a School office environment
- Experience of working with young people.
