We are excited to be working in partnership with a highly successful and established client located near Dunfermline who are looking to recruit a dedicated and highly professional Administration Assistant.

**Role Responsibilities**
- Tender Document Management
- Download and organise tender documents from various sources
- Ensure all relevant documents are saved and accessible to the estimating team
- Establish and maintain a structured filing system for new tenders, ensuring easy retrieval and secure storage of documents
- Regularly update and archive files as needed
- Compile tender enquiry forms accurately and promptly to facilitate the bid process
- Issue enquiries from Subcontractors Enquiry Form and Materials Form
- Manage ad hoc enquiries as needed to support estimating activities
- Maintain and update the Estimating Sub-contractor database with accurate and current information
- Assist in the upkeep of the Estimating system by inputting data, verifying accuracy, and generating reports as required
- Assist in coordinating meetings and appointments for team members
- Handle phone calls, inquiries, and messages in a professional manner
- Ensure that all documentation and processes comply with company policies and relevant regulations
- Perform additional tasks and duties as required by the company to contribute to the smooth functioning of the estimating team

**To be considered for this amazing opportunity, our client does require the following experience /background**:

- **Experience working within a busy administrative support role, ideally within a construction company or an estimating department (not essential but would be ideally preferred)**:

- Strong interpersonal, communication and organisation skills
- Ability to work well to deadlines and prioritise workload effectively
- Excellent attention to detail
- Flexible and adaptable approach to work
- A strong work ethic, and the ability to work well under pressure to deliver high quality work ina demanding environment
