Office Assistant

Reporting directly into the CEO, one minute you could be arranging the next Kip Annual Conference for 300 guests, to the next minute hosting and coordinating an internal training event to ordering in the tea bags and team cakes Lots of attention to detail needed for our documents which require high precision to general office admin and internal comms - if this sounds like the fun & varied role you are looking for then, read on.
Aim - To provide administrative and general office support to the UK Head Office and to be the point of contact for customers in the UK.
**Primary Responsibilities**:
- Safeguarding Administration
- Administrative support on Franchise Agreements
- Supporting UK Head Office Team
- Hosting/Coordinating Training Events
- General Office Administration
Safeguarding Administration
Processing of Franchise Agreements
- Administer all UK contracts and other legal documents through DocuSign
- Keep records up to date and ensure deadlines for completion are met
Supporting UK Head Office Team
- Act as ‘Host’ of the office, including greeting all visitors
- Manning the reception desk when required
- Telephone Management
- Monitor and management of company equipment
- Support with Health & Safety administration
Hosting/Coordinating Training Events
- Organise, coordinate and host Training Events
General Office Administration
- Order Head Office equipment and stock
- Ensure record management is maintained and updated for key areas of responsibility as required
- Action assigned tasks for the annual conference
- To undertake any other duties commensurate with the level of responsibility and remuneration of the post that may be assigned.
Required Education, Skills and Qualifications
To be considered for this position you should meet the following criteria:
- Disclosure Barring Service (DBS) working with children clearance
Knowledge & Skills Required
- Pro-active with a can-do attitude resulting in being a Self-Starter
- Excellent communication and interpersonal skills
- Emotionally Intelligent
- Able to work under pressure with attention to detail
- Self-motivated with the ability to work autonomously and as part of a team
- Excellent planning and organisational skills
- Intermediate/Advanced Microsoft Office skills
- Time management skills
- able to manage multiple projects with shifting and short deadlines

**Salary**: £23,000.00 - £25,000.00 per annum pro rata
**Hours**: Part - time, between 17.5 - 20 hours per week - work pattern open to flexibility, the role would benefit working everyday
**Job Type**: Perm
Example - Monday to Thursday, 9.30am - 2.30 pm = 20 hours per week based on a FTE £25,000, actual salary £14,285 per annum.

The days in the office are set when the whole team are in at the same time. Flexibility will be key to this role and at times the need for flexibility to travel and work from the office daily may be required.
