**Job summary**:
Navy Command Headquarters (NCHQ) in Whale Island, Portsmouth, is the nerve centre of the Naval Service. It supports operations around the globe and provides the ships, people, aircraft and equipment to deliver the UK’s defence policy. The NCHQ supports all the Royal Navy’s activities from front-line operations to personnel support and training; finance and governance; safety; equipment acquisition; programmes and planning; and Defence Engagement. Civil Servants and Armed Forces personnel work together in a wealth of interesting and challenging jobs in different disciplines, from finance; legal services; personnel and HR; project planning and managing contracts, to media and communications.

The Director Navy Acquisition (DNA) organisation manages the Navy’s major acquisition programmes. Programmes are grouped into Programme Management Offices according to the capability being delivered: Ships Acquisition (SAPMO), Equipment & Systems Acquisition (NESA) ,Future Support Acquisition (FSA) and Commando Force (CF)

Each programme is managed through its delivery phase by a dedicated core programme team. Supporting all the programmes are a P3M Team (with specialists in Risk, Schedules, Benefits, Finance, Communications and Governance), and an Acquisition Portfolio Team (covering Portfolio Definition, Assurance and Governance).

This position is advertised at 37 hours per week.

**Job description**:
The post holder will provide diary management support to the DNA Commando Force and Equipment and Systems Dep Directors and also provide administrative support to the Equipment & Systems and CF PMOs. To work with other administrative support staff within the Acquisition Division ensuring consistent administration processes and adequate cover during absences.

The post holder is accountable to the P3M Team Leader (Equipment & Systems).

**Person specification**:
Main responsibilities include:
Manage the diaries and programmes for the Deputy Directors both short and long term, prioritising meetings, events and activities as required; provide advice, support and guidance to visitors for events and manage meeting logistics for the Heads of Sections including, but not limited to: booking facilities, distribution of meeting materials, arranging and authorising travel, provision of advice to other offices.

2. Act as the Deputy Director’s representative for enquiries from external offices/agencies relating to programming issues and provide EA representation as required, directing work to action officers as required

4. Support the Division Information Manager: manage document records, correspondence and electronic communications up to SECRET; manage PMO SharePoint sites including permissions and archival activities in accordance with relevant Information Management policies and best practices.

5. Build and maintain effective relationships with relevant stakeholders to maintain appropriate lines of communication on behalf of the Deputy Director (stakeholders include, but are not limited to: internal PMO teams, other 1-4* outer offices and Flag Officer staff, external agencies).

6. Undertake administrative duties as required by the P3M Team Leader to support effective administration across the whole Division (including but not limited to the support of: divisional training record keeping, resource management and recruitment activities, business continuity planning, office accommodation/equipment management, Governance/MI reporting).
