Imaging Administrator/coordinator

At The Royal Brompton Hospital in Chelsea, we are looking to recruit an Imaging Administrator/coordinator to cross cover our reception and diagnostic centre areas.
To work as part of the Diagnostic Centre administrative team 5 days a week in the running of CT, Ultrasound, x-ray and Diagnostic Centre receptions, their environment and working practices, working closely with the multi-disciplinary team.
To schedule appointments for both NHS and private patients for a wide range of diagnostic tests in accordance with the waiting time guidelines.
To communicate directly with patients and members of staff at all levels.
To ensure accuracy of data and records and that confidentiality is maintained at all times.
Greeting visitors to the department as well as other tasks that are required to assist with the smooth running of the X-Ray, Ultrasound, CT scanning and Diagnostic Centre areas.

Main tasks and responsibilities
Patient/customer care (both direct and indirect)
To cross cover our reception and diagnostic centre areas. Greeting patients arriving for examinations completing a three-point check with the patient and providing them with the appropriate paperwork for the appointment.
To check patient’s details, make appointments and enter them on our hospital system.
To register new patients when necessary and assist with the transfer of images to and from outside organisations.
To ensure all patient data is accurately identified and stored correctly within the Trust systems and during transfer in order to prevent misidentification.
To ensure compliance with regulatory requirements (e.g. the requirements of the Data Protection Act).
To assist private patients making payments when required.
To prepare appointment lists, ensuring that all the appropriate paperwork is available.
To assist radiographers and radiologists with administrative matters when required.
Any other duties that may become necessary following discussion with departmental managers.
Policy development
To be familiar with all Trust and Directorate policies relevant to the role and to abide by them.
Service development
To undertake to attend mandatory training and any other training deemed necessary by the departmental managers.
Participate in the Trust’s Personal Development Scheme.
People management
To assist with the coordination of the inpatient list, liaising with the radiographers to ensure good time management.
Communication
To liaise with wards, clinical teams and other departments within the hospital.
To answer telephone queries or refer callers to the correct source of information.
Deal courteously, efficiently, competently and confidentially with all enquires, assessing priorities and initiating action as required.
To liaise with clinical teams and consultants to optimise service to patients and identify any potential problems with regard to patient appointments.
To occasionally take paperwork from one department to another.
Resource management
To prioritise and deal with the multiple tasks demanded of this role, in a timely and organised fashion.
To report any shortfalls in stock.
Information management
To be responsible for the accurate input of patient data, processing the radiology results and other relevant information into the Hospital Information Systems and patient case notes.
Other duties
To undertake any other duties commensurate with the grade as requested.
