**About us**

We are looking for a welcoming and energetic Office Coordinator to join us 3 days per week (20 hours in total) in HiBob’s London office, keeping our office running smoothly. Our office coordinators are part of HiBob’s Europe People team (based in London, Lisbon and Amsterdam), who look after team members around all of HiBob’s Europe office locations. You’ll be reporting into our Office & Experience Manager based in London.

Working hours - Ideally will be flexible to accommodate support events if needed.
- Tuesday - 8.30 - 14:00
- Wednesday - 8.30 - 13.00
- Thursday: 8.30 - 17:30

**About you**

At the heart of this role is delivering an exceptional office experience to our London-based Bobbers, so we are looking for someone who is passionate and motivated to help people. You'll see from the responsibilities below that multi-tasking, switching between different tasks quickly, and being organised yet adaptable are all key components for this role This role is fully office based, with no opportunity for remote working, so you would need to be comfortable commuting to our offices in Farringdon.

We use our HR platform Bob (of course), Slack, Zoom, Google Docs on a daily basis, and we typically work with Macbook Air laptops. If you’ve got experience with these tools, that’s great If not, we’ll show you the ropes.

Office & operations support
- Main point of contact for Bobbers for all things office related
- Stock checking the office kitchen, unpacking deliveries, ordering new stock
- Support the Europe Office & Experience Manager by routinely inspecting the office and proactively solving or logging maintenance tasks or office issues
- Working with our Finance team to manage purchase orders, receipts and expenses in an accurate and timely manner
- Working with our IT team to make sure we have a correct stock of IT equipment in London

Employee Experience
- Local onboarding logistics of new HiBob London colleagues as our team keeps growing at a steady pace (IT equipment, swag, access to our facilities, etc)
- On the ground support for local team events in London, such as happy hours, team lunches, volunteering activities - this might include supporting the planning & hosting of events in and out of the office. You’ll work closely with our Europe Office and Experience Manager on these kinds of events
- Welcoming Bobbers from any of our other international offices and supporting them during their visits
- Catering and office support for team events / meetings
- Supporting the Europe Office & Experience Manager in the planning, coordination and hosting of Bobbers for our annual events - e.g. summer party, Christmas parties and larger team events

- Passionate and motivated to help people.
- A strong ability to multi-task, being organised yet adaptable are all key components for this role

- Being based in the office is essential. Given the nature of the role, remote working is not something we can consider.
