**Job summary**:
The Government Property Agency is changing the way the Civil Service works and is at the forefront of Government's transformation agenda; reshaping the relationship civil servants have with their place of work. **Job description**:
This role sits within the Agency’s Corporate Team, specifically the Governance and Private Office team; a group of 6 people who work closely across two locations (Birmingham and London) to run the CEO’s office as well as ensuring the smooth running of the Agency’s Boards and Committees (Governance).

Due to the way that the team works, you will build up an understanding of how the Private Office runs for resilience and so that cover can be provided during annual leave etc. We are a friendly, hard working and supportive team that embraces flexible ways of working to manage a fast paced and substantial workload in an efficient and positive way.

Main job purpose:
To lead the secretariat for GPA’s Board and it’s Committees:
GPA Board, GPA Investment Committee, GPA Audit and Risk Committee.

Support management of Chair and the Non-Executive directors and general governance admin tasks as appropriate.
- Support board and committee chairs to be effective and well informed lead all activity to deliver this objective.
- Manage all aspects of preparation of meetings:

- Manage and record conflicts of interest, identifying any potential conflicts of interest.
- Manage all pre and post meeting documentation.
- Draft papers, action logs and comprehensive minutes and forward looks as required.
- Engage with GPA teams to ensure key strategic issues are promptly brought to the attention of respective board/committees to allow informed discussions and proactive advice can be provided or assurances given.
- Oversee board member training including
- Drafting and updating of induction material and process for new members.
- Maintain board records for each member in respect of knowledge and skills, attendance, tenure to effect succession planning.
- Implement annual Board member performance appraisals
- Management of chairs stakeholder engagement commitments and develop communications strategy to promote the value of the governance boards. This will include some event management for events such as MIPIM.

**Person specification**:
Highly organised with previous secretariat and administrative experience. Would suit someone used to working as a PA or EA, working to regular deadlines in a fast paced environment.

Someone who is comfortable working with senior staff members and confidential information, able to work independently and confidently in this environment.
