**About the Role**:
East Anglia’s Children’s Hospices (EACH) supports families and cares for children and young people with life threatening conditions across Cambridgeshire, Essex, Norfolk and Suffolk. We now have a fantastic opportunity for an administrative assistant to join us at the Treehouse Hospice or The Nook in Ipswich on a full time basis, for 37.5 hours per week.

The main responsibilities of the role include:

- Provide administration support: answering telephone, taking messages, greeting families and visitors.
- Work as one team with other administrators on site, volunteer receptionists and tri site.
- Deal with post and distribute appropriately.
- Postage and franking.
- Provide secretarial support as required, e.g. typing letters and reports, taking and typing minutes, photocopying, scanning and filing, excel mail merges.
- Maintain a supply of office stationery and other administrative stationery as required, e.g. forms, signing-in sheets, duty rota sheets. Produce mail merged information on request: labels, letters etc.
- Maintain good communication and relations between the different EACH sites, external organisations and individuals.
- Update System 1, the electronic patient record database, requiring a methodical approach /attention to detail
- Attend staff meetings and training as required.
- Update weekly off-duty rotas, file expense forms, and extra duty claim forms.
- Prepare self-rostering off duty, booking calls for care delivery and self-care.
- Support lead admin in volunteer driver rotas and lone working.
- Being part of the evac hydro rota.
- Room bookings.
- Any other administrator tasks as required.

If you are a well organised person, who thrives in a busy working environment where no two days are the same, we'd love to hear from you. You will need the following skills and experience:

- CSE / GCSE English & Maths Grade C or above or equivalent.
- Good English language skills.
- IT skills including Microsoft Office (Word, Excel, Outlook, Explorer, Internet and PowerPoint) - A knowledge of databases.
- Minimum two years’ experience in an administrative role or equivalent.
- Thorough & organised.
- Good attention to detail.
- Team worker.
- Excellent interpersonal skills.
- Ability to work with minimum supervision.
- Flexible approach to work.
- Confident and telephone manner.
- Excellent verbal and written communication skills.
- Own car or ability to access the hospice.
