Maintenance Administrator

**Job Summary**:
The Maintenance Administrator will provide administrative support to the maintenance
department across our 9 care homes, assisting with various tasks to ensure efficient
operation and upkeep of facilities. This role involves coordinating maintenance requests,
scheduling appointments, maintaining records, and assisting with inventory management.
**Responsibilities**:
1. Receive and log maintenance requests from staff and residents, ensuring accuracy
and completeness of information.
2. Coordinate scheduling of maintenance tasks and appointments with internal staff and
external contractors.
3. Maintain electronic and paper records of maintenance activities, including work
orders, invoices, and equipment maintenance logs.
4. Assist in the preparation of maintenance budgets, tracking expenses, and monitoring
spending against allocated funds.
5. Communicate with suppliers and vendors to obtain quotes, place orders, and track
deliveries of maintenance supplies and equipment.
6. Generate reports on maintenance activities, including work completed, outstanding
tasks, and budget variance analysis.
7. Respond to inquiries and requests for information from staff, residents, and external
parties regarding maintenance issues.
8. Assist with the development and implementation of maintenance procedures and
protocols to improve efficiency and compliance.
9. Provide administrative support to the maintenance team, including photocopying,
filing, data entry, and other clerical tasks as needed.
10. Collaborate with other departments to coordinate maintenance-related activities and
support overall facility management objectives.
Qualifications:
- High school diploma or equivalent; additional education or training in administration
or related fields is a plus.
- Proven experience in administrative support roles, preferably in a maintenance or
facilities management setting.

- Strong attention to detail and accuracy in data entry and record-keeping.
- Effective communication and interpersonal skills to interact with staff, residents, and
external vendors.
- Ability to work independently with mínimal supervision and as part of a team.
- Knowledge of maintenance processes and terminology is desirable but not essential.
