Imagine a mixture of aclerical job(preparing documentation and data inputting) afiling job, (which involves careful work with long numerical reference numbers), in a large warehouse for a proportion of the week, and adistribution job(that involves lots of walking and takes you all around a hospital for the remainder of the week). Taken together, you pretty much have theRecords Services Operativerole.

As Records Service Operatives, we work with very large volumes of patients’ medical notes It is our job to make sure that these records are where they need to be at any given time, and that they are properly and securely presented, so that doctors, nurses and other health professionals, can give our patients the best possible care.
- To sort 7 digit case note numbers accurately into numerical order, and recognise those that are out of sequence. Ability to accurately transpose and work with 7 digit numerical sequences
- To positively identify all patient case notes prior to any action
- To retrieve and file case notes within the Records Services libraries
- To file reports and correspondence into the case notes
- To file case notes and correspondence wallets in to the libraries
- Recording the location of case notes on the Case note Tracking System
- Preparing case notes prior to delivery to other areas of the Trust
- Issuing new case notes and tidying existing case notes
- Weeding of existing case notes in line with the Trust’s Retention and Destruction policy
- To process Private Health and Social Security forms in line with Departmental Desk Instructions and Data Protection Act.
- To insert living wills/advance statements into case notes in accordance with the local procedures
- To prepare case notes to agreed standards, ensuring that target timescales are met
- To update the Case note Tracking System with all new locations for case notes
- Analyse computer information to assist with problem solving to establish the whereabouts of missing case notes
- Any other duties commensurate with the banding
