**The job**
- We are looking for an experienced Purchase Ledger/ Office Administrator to join our small, friendly company. You will be re the Operations Director and take responsibility for Purchase and Sales Ledger, VAT returns and all aspects of office administration.

You will be liaising with clients, suppliers and customers, so great communication skills are key. You will also look after general office duties such as dealing with orders, post and occasional meeting and greeting visitors at reception.

**What you’ll do**
- Manage Xero accounts package, ongoing purchase ledger activity using Access database system and Excel.
- Ensure that purchase ledger data is accurate and kept up to date.
- Maintain petty cash records.
- Create and send Sales Invoices to clients and keep Sales Ledger up to date.
- Process employee fuel card expenses.
- Use Internal Purchase Order system for raising purchase orders.
- Set up new suppliers and clients using Access database system.
- Type up quotations for job tenders and set up quote files.
- Set up and manage new job files.
- Prepare Method Statement/Risk Assessments from template, with the Director, as part of site H&S.
- Prepare Monthly Supplier Pay Runs and Fortnightly Sub-Contractor Pay Runs.
- Complete Quarterly VAT Returns and submit online.
- Submit PAYE & CIS Returns online.
- Manage the Administration and Estimating mailboxes
- Provide secretarial support to the Operations Director & Contracts Manager, as required.
- Communicate and liaise with customers/suppliers/visitors/enquirers and relevant staff.
- Answer all incoming calls to the business and action accordingly.
- Greet visitors in an efficient, professional and courteous manner
- Open and distribute in coming post.
- Maintain office stationery supplies.

**What we are looking for?**

We are looking for you to have current or recent experience in a Purchase Ledge and Office Administration role.

Ideally you will have:

- Experience of using Access database system and Excel spreadsheets.
- Experience in completing and filing VAT and PAYE returns
- Experience of Bank reconciliations and cash flow
- Strong numeracy and literacy skills
- Excellent communication skills.
- Ability to multi-task and work under pressure.
- Be happy to work in the office on your own.
