Visitors Administrator

**Purpose of Role**
To provide administrative support to the Visitor department, ensuring Exeter Cathedral offers a first class visitor experience to all who enter.
**Key Accountabilities**
**Visitors**
- Ensuring we offer a quality Visitor experience to all who visit the Cathedral. This includes
- Management of all bookings - receive, confirm, organise and manage all enquires promptly in a professional manner
- Ensure our computerised booking system, diary and website are kept up-to-date and accurate
- Co-ordinating the rota’s for Cathedral Stewards ensuring the Cathedral floor is always covered when the building is open
- Ensuring Guides are booked for all daily and pre-booked guided tours
- Update the Cathedral website with all opening/closing times and tours
- Liaise with the Welcome Desk including the team of staff. Ensuring the desk
- Opens promptly and is staffed when the Cathedral is open to Visitors. The office team may need to provide cover if staff are absent.
- Has all relevant required information to function professionally including daily sheets, booked tour information, cashing up sheets, guide books etc.
- Is presentable and displaying agreed items in the correct manner
- Promotes the Cathedral Guide Books and upsells at every opportunity
- Ensuring the entry desk sheets are taken to Finance daily
- Organising change orders
- Issue residents cards as required
- General administrative duties
- Selling Event tickets through our on-line provider
- Dealing with general enquiries to our main office, 1 The Cloisters
- Answering the phone promptly ensuring that messages are returned as quickly as possible
- Any other duties reasonably required by the Chief Operating Officer

- Guide Training - both initial and specialist tours
- Roof Training
- Refresher Training
Guided Tours
- In conjunction with Guides ensure that new tours are developed particularly linking in with any events that are held in the Cathedral or nationally
**General**
Meetings
- Attend the Cathedral Diary meeting
- Cathedral Safeguarding Management Panel quarterly
- Hold quarterly Steward and Guide meetings
- Health and Safety Meeting six times a year
**Cathedral News**
- Write an article each month for Cathedral News
**Key challenges**
- The job involves working within a very busy department with constant interruptions from members of the public requesting information and from staff who need the support of the department
- Working with a mix of volunteers and staff in a highly pressurised environment
- The need to work to very tight deadlines
- The Cathedral is incredibly busy with many demands from services, events and visitors, you need to be aware of the impact of your bookings on others and ensure that services take priority.
**Salary**: £22,000.00 per year
