**Executive Assistant**

**Salary is dependent upon experience - up to 37K**

**Ilkeston - Derbyshire**

The recruitment group is working with a family-run business who are a major contract packaging specialist offering innovative and timely solutions to everyday food and non-food packing challenges.
Some of the packaging solutions include bottling, sachet and pouch filling, and hands-on assembly projects.

**Purpose of the Executive Assistant role**:
The Executive Assistant will be required to interact with people both internally & externally to the organisation & is therefore responsible for portraying a favourable and highly professional impression to all contacts. The Executive Assistant will bring a high level of support to the managing director, to reduce admin pressure & to streamline daily activities through screening and prioritising scheduled tasks.

**Main duties and responsibilities of the Executive Assistant**:

- Act as the point of contact among executives, employees, clients and other external partners
- Manage information flow in a timely and accurate manner.
- Manage executives’ calendars and set up meetings.
- Make travel and accommodation arrangements.
- Compile expenses and prepare weekly, monthly or quarterly reports.
- Oversee the performance of other admin staff to ensure maximum efficiencies and high brand alignment.
- Act as an office manager by keeping up with office supply inventory.
- Take minutes during meetings and follow up on agreed action points ensuring deadlines are met.
- Screen and direct phone calls and distribute correspondence.
- Organise and maintain the office filing & reporting systems

**Experience/knowledge requirements for Executive Accounts role**:

- Minimum of 2 years’ experience in EA/PA or similar duties with positive references are required to be considered for this role.
- Strong academic results from GCSE level
- Experience using Microsoft office suite of tools.
- Experience in telephone answering and outbound calls
- Excellent written and verbal communication skills
- Planning prioritisation and time management skills
- Excellent logístical skills - making arrangements for travel, complex diary management.
- Excellent interpersonal skills, dealing with people at senior levels professionally and with confidentiality.
- Tactful, assertive and articulate voice to interact effectively with a range of people from various backgrounds and levels of seniority, including the directors and senior colleagues.
- Ability to work to deadlines by setting priorities and managing work loads.
- Excellent attention to detail and taking pride in working to a high standard in routine activities as well as special projects.
- The ability to work autonomously with a high degree of motivation and initiative and make decisions within given parameters.
- Enthusiasm, creativity and a proactive, problem-solving approach (ie, the ability to see through processes, pre-empt and deal with issues that arise within given frameworks or advise others with responsibility)
- Able to operate as part of a team.
- Discretion in dealing with confidential and sensitive information.
