**Job Title: Finance and Admin Assistant**

**Hours and working days**

Full-time, 8.30 -16.00 Monday - Friday (half-hour lunch break)

42 weeks per year

**We are looking for someone who**:

- Is skilled in finance, HR and and administration.

**Main duties and responsibilities**

**FINANCE**
- Liaise with the local authority finance team and DfE as required, prepare IPA, and costing and resolve invoice and remittance queries
- Liaise with suppliers to investigate discrepancies and inaccuracies in orders received
- Ensure receipt confirmations are obtained for goods and services received and match to corresponding invoices before initiating the invoice payment process.
- Verify invoices for accuracy, delivery confirmation, prepare invoices for payment.
- Prepare Bacs payment files for signature of the SBM
- Administer petty cash expenditure
- Administer procurement card expenditure
- Administer all direct debit/standing order payments
- Liaise with suppliers regarding discrepancies and queries concerning outstanding accounts
- Logging all absences in staff personnel files and notifying payroll

**COMMUNICATION**
- Communication with parents through Isams
- Collate permission slips from parents
- Help organize educational visits

**IT**
- Support the SBM with IT systems and keep track of the different software and renewal dates
- Entering new students / staff members onto iSAMS
- Update the website
- Advertise weekly on social media

**HR**
- Ensure that probation periods are suitably diarised and that confirmation letters are produced once probationary reviews have been undertaken by Line Managers.
- Support HR Manager in ensuring that the HR database is kept fully up-to-date with accurate staff records
- Support the HR Manager to ensure that the school’s Single Central Register is kept up-to-date at all times
- First point of contact with external HR professionals
- Support HR Manager with absence administration

**ADMINISTRATION**
- Answer day-to-day enquiries (both internal and external) in a timely and efficient manner, escalating or redirecting where appropriate
- Carry out any other general administrative duties e.g. filing, photocopying, scanning and shredding General Responsibilities
- Responsibility for keeping up to date with the requirements of the role, by attending appropriate INSET meetings, and keeping abreast of changes in legislation;
- Awareness of and compliance with policies and procedures relating to child protection, equal opportunities and race equality, health and safety, confidentiality and data protection, reporting all concerns to an appropriate person;
