**Key Responsibilities**:

- _Purchasing:_

Conduct thorough research to identify the best prices and quality for required items.

Evaluate suppliers and negotiate agreements to ensure cost-effective procurement.

Monitor market trends and stay informed about industry best practices.
- _Administrative Support:_

Provide administrative support to ensure the efficient operation of the office.

Maintain supplies inventory by checking stock levels, anticipating needs, and placing orders for necessary supplies.

Contribute to the team effort by accomplishing related results as needed.
- _Team Collaboration:_

Actively contribute to the overall team effort by completing assigned tasks and supporting colleagues.

Collaborate with team members to achieve collective goals and enhance team productivity.
- _Financial Record Keeping:_

Maintain accurate and up-to-date financial records, including accounts payable, accounts receivable, and general ledger entries.
- _Expense Management:_

Process and track all company expenses, ensuring compliance with established policies and procedures.
- Purchasing:
Conduct thorough research to identify the best prices, quality, and other relevant factors when making purchasing decisions.

**Additionally, you may be tasked with**:

- _Invoicing:_

Generate and send out invoices, follow up on overdue payments.

Maintain strong communication with clients and vendors.
- _Financial Reporting:_

Prepare and analyse financial reports, summarizing key financial data for management review.
- _Budget Assistance:_

Collaborate with the finance team to assist in the preparation and monitoring of budgets.

Provide insights into financial variances.
- _Compliance:_

Ensure compliance with local, state, and federal regulations.

Assist in the preparation for audits.

**Qualifications**:
Proven experience in finance or accounting roles (preferable).

Strong understanding of financial principles and practices.

Proficiency in financial software and Microsoft Office.

Excellent organizational and multitasking abilities.

Strong attention to detail and accuracy.

Effective communication skills, both written and verbal.

**Experience**:
Previous experience in office administration or a related field preferred.

Proficient in Microsoft Office Suite (Word, Excel, Outlook).

Strong organizational skills and great attention to details.

Excellent written and verbal communication skills.

Ability to multitask and prioritize tasks effectively.

Bookkeeping experience and/or accounting experience of admin, preferably in a finance department.

Ideally familiar with QuickBooks and other accountancy software.
