Orthotics Administration Assistant - (30 hours per week)

As an Administrative Assistant you will have a wide range of duties and you will be expected to prioritise your workload to achieve deadlines with occasional conflicting deadlines. You will have a flexible approach, ensuring that a quality of service is provided to set standards, have the ability to work under pressure and be a team player.

The department receives calls from members of the public and on occasion these could be complaints. You must have an excellent telephone manner and effective written and verbal communication skills. Basic keyboard skills are essential.

To provide comprehensive administrative support to the Orthotics Service, as guided by the Orthotics Service Coordinator.

**Undertake general office duties as required, including**:

- To deal with telephone queries and messages
- Dealing with Patient Appointments
- Dealing with Patient Referrals
- Preparing Daily Clinics
- Typing patient notes on to the Patient Management System.
- Maintaining patient outcomes on the Patient Management System.
- Ordering and Booking in Patient Appliances using Patient
- Patient Appliance Collections/ Repairs
- Providing information to Orthotist as requested
- Processing incoming and outgoing post
- To undertake work that has been prioritised by the Orthotics Coordinator.

The Orthotics Service provides body worn devices to patients to help with their mobility, improve function or reduce pain. Patients are assessed to decide on the correct treatment and can be seen as an inpatient in hospital wards and as out-patients from across the Walsall borough. This includes adults and children.

The service is made up of a small, friendly team of Administrators and Orthotists and we are located in the main outpatient department with the Manor Hospital. The service works closely with other Therapies teams providing a high level of care to patients within the Walsall borough.

To provide comprehensive administrative support to the Orthotics Service, as guided by the Orthotics Service Coordinator.
- Undertake general office duties as required, including:

- To deal with telephone queries, take messages and deal with them in a timely and efficient way, refer as appropriate.
- Dealing with Patient Appointments
- Dealing with Patient Referrals
- Preparing Daily Clinics
- Despatch Appliances to the relevant Orthotic Contractor
- Accurately typing up patient notes on to the Patient Management System.
- Maintaining patient outcomes on the Patient Management System and sending DNA letters where applicable.
- Ordering and Booking in Patient Appliances using Patient Management System, Contractor Portal and Trust Central Purchasing system.
- Patient Appliance Collections/ Repairs
- Act as a chaperone in clinic as and when required, in line with departmental and Trust procedures.
- Providing information to Orthotist as requested.
- To treat all information as confidential and follow all Trust and Department Information Governance policies and procedures.
- To organise own day to day work tasks, showing an ability to prioritise in order to achieve set timescales.
- To undertake work that has been prioritised by the Orthotics Coordinator.
- Ensure that all statutory and mandatory training is undertaken and up to date.
