We have an exciting opportunity, based at the Churchill Hospital to join the administrative team supporting patients either with blood disorders or blood cancer. People are friendly here and there’s a real culture of kindness that makes Haematology a special place to work.

You will be part of the administrative team who supports our Band 4 Pathway coordinators.

You’ll be a good team player, who’s organised and possess good interpersonal, written and verbal communication skills that allow you to handle calls in a professional, sensitive way, whilst recording information accurately. You will have the ability to multi-task and manage competing priorities. Customer service experience from a telephone or face to face role is desirable.

Your responsibilities will include dealing with queries from patients, updating patient records and liaising with the wider administrative team as well as clinicians. Whilst some NHS experience is an advantage, full training will be given. Once in the role we’ll give you opportunities to develop a your skills within the role and through cross-cover, that will equip you if you wish to progress within the NHS.

Effective and efficient patient administration supports management through ensuring a high standard of data quality and by making the best use of capacity and resources.

The post holder has responsibility for assisting in the provision of a professional, comprehensive and efficient administrative service, which is effectively delivered to all patients and members of the department. This will be through the delivery of a comprehensive administrative service to a specialty team.

To be responsible for the provision of a supporting role to the Pathway Co-ordinator to help ensure the efficient running of the service.

The post holder will ensure high levels of patient and clinician satisfaction by being an accessible, customer focussed and knowledgeable point of contact.

To keep accurate up-to-date records on EPR and message boards.

To cross cover within the team for annual leave and sickness.

The post holder will be expected to have strong IT skills, be capable of using his/her own initiative, take responsibility for organising the workload, and enjoy working independently as well as a team member.

1. To be responsible for the provision of administrative services to the Haematology Team

2. Process and log all referrals in line with Trust Access Policy and specialty SOP

3. Receiving and taking relevant action on telephone calls from patients, GPs etc. Providing reassurance and support to patients and families by telephone and passing on messages in a timely manner.

4. To take responsibility for Data Quality within a defined area; investigating issues, and rectifying errors.

5. Deal with enquires from staff/patients/relatives/visitors investigating and researching matters to ensure their queries have been dealt with.

6. To liaise with other departments as required.

7. Undertake general administrative duties.

8. Maintain an accurate and current filing system, ensuring letters, reports and results etc., are filed in the correct patient medical record.

9. Ensure adequate supplies of stationery and supplies to enable the team to function efficiently.

10. Communication and Technology support for nursing, clinical and administrative staff.

11. Assist the Pathway Co-ordinator for new starters within the department to obtain sufficient equipment prior to their start with the Trust, i.e. laptop, telephone, IT access, badge etc.

12. Responsible for registering patients on EPR (OUH Trust patient administration system), booking appointments, recording activities and updating status codes.
