We are currently looking to recruit a part-time Band 3 Supervisor to join the Medical Records Department based at the St Richards Site at University Hospitals Sussex Foundation Trust.

Medical Records operates a 24 hour service across our current 3 hospital sites; Worthing, Southlands and Chichester, and is undergoing many changes following the merge with both Royal Sussex County Hospital and Princess Royal Hospital, to create the new UHSussex Trust plus the change from paper based to digital records.

We require an applicant who is highly organised and motivated, able to work under the pressure of deadlines, adaptable, quick to learn a variety of tasks and possess good communication skills.

Knowledge of computer systems, ability to work cross site and evidence of recent direct line management of staff is essential. Operational experience in a healthcare setting would be an advantage.

This can be a physical role involving the manual handling of case notes.

The primary role of the Supervisor is to support the Operational Supervisor in producing an efficient, reliable and responsive 24-hour patient administration service to Worthing, Southlands and Chichester Hospitals, including case note management and storage, data collection and provision of information, admissions function, digitizing patient health records and archiving/storage of deceased patients’ case notes.

The jobholder will assist in the day-to-day supervision of the team of clerks within this multi-sectioned Medical Records Department, providing an efficient and effective service to clinical specialties in all aspects of patient administration on all sites.

Main duties by factor

1. Communications and Relationship skills - (Factor 1)
- To communicate regularly with all designated staff to ensure awareness and compliance of all Trust and Government regulations.
- Attend meetings as and when required and disseminate information to staff as necessary, including cascading information via team briefings.
- To develop close working relationships with all levels of Trust staff and departments to promote efficient and accurate handling of medical records to improve data quality.

1. Analytical and Judgemental skills - (Factor 3)
- To assist in the investigation of formal complaints regarding health record and scanning issues.

1. Planning and Organisational skills - (Factor 4)
- To monitor and co-ordinate annual leave, extra hours worked, daily signing of bank time sheets and allocation of tasks to staff to maintain service levels in the department with mínimal disruption to service delivery.
- To participate in the development and maintenance of departmental procedures and action plans to ensure best practice.
- To participate in local rota arrangements for covering bank holiday duties as agreed with line manager.
