**Overview**:
First Military Recruitment is working in partnership with our client to recruit a team member to provide Administration Compliance support to the Site Business Manager at the Chapterhouse Refuse Derived Fuel (RDF) Plant in Ellesmere Port.
**Duties and Responsibilities**:
- Ensure site filing system is maintained in line with company IMS standards.
- Arrange and liaise with contractors and suppliers to ensure maintenance of plant and vehicles takes place in line with manufacturers / company requirements.
- Maintain and update Site Maintenance Planner as necessary.
- Compile and maintain Control of Contractors paperwork to ensure all in date as required.
- Create Purchase Orders and record as required, and receipt once delivered.
- Maintain Purchase Order spreadsheet to track all costs.
- Complete Invoice processing within SAP, raising queries as and when required.
- Maintain Induction and Pin tracker database, ensuring notifications sent out to relevant managers of upcoming expiry dates.
- Process staff timesheets on a weekly and monthly basis, ensuring the correct recording of overtime as and when appropriate.
- Manage site personnel files.
- Submission of weekly absence returns.
- Completion and submission of quarterly and annual EA waste returns as per permit requirements.
- Deal with waste input queries.
- Deal with client/supplier queries.
- Man the site’s telephone system during working hours.
- Collect, open and distribute post.
- Ensure the office is functional - i.e. maintain stationery stocks and that the relevant machinery is available (copiers, faxes etc).
- Collation, co-ordination, and archiving of the site’s documents/information.
- Manage the booking of the site’s meeting room.
- Monitor the site’s holidays, sickness, attendance.
- Book the quarterly Community Liaison Meeting venue and take minutes of the meeting.
- Support operational activities with direct supervision or monitoring, as appropriate.
- Support and undertake training activities as and when required.
- Assist with the development and monitoring of appropriate Key Performance Indicators to maximise the efficiency of the business activities.
- Support colleagues and senior management to ensure that continuous improvement is achieved in relation to vehicle and plant activities.
- Prepare reports, with recommendations for senior management and colleagues, support contracts as and when required, as directed by senior management.
- Prepare weekly, monthly and annual Council reports in line with CWAC Reporting schedule, ensuring accurate data and timely submission.
- Deal with any queries raised in relation to Council report(s) and action in a timely manner.
- Ensure Drivers’ paperwork is checked and completed correctly, including Drivers Worksheets and Daily Vehicle Check Sheets.
- Action any reported defects for vehicles, ensuring copy sent to Maintenance Provider for their records.
**Skills and Experience**:
- 5 GCSEs including English and Maths (Grade C or above).
- IT proficient.
- Shorthand and audio typing skills are advantageous.
- A recognised qualification in secretarial or administrative skills. These can include: NVQ Level 2 or 3 in Business and Administration, OCR Higher Diploma in Administrative Procedures, City & Guilds Advanced Diploma, and/or Higher Professional Diploma inBusiness Administration.
- Strong organisation skills.
- Friendly, reliable, polite and helpful, who has experience with dealing with the public and customers.
- Well-developed interpersonal skills.
- Ability to work in an efficient and effective manner.
- Good timekeeping skills and ability to meet deadlines.
- Diplomatic, discrete, confident, and strong communication skills, both written and spoken.
- Able to build good relationships - you will be the main point of contact for many clients.
- Able to exercise good judgment.
- Able to multi-task and use initiative.
