We are looking for an administrator to support the Community Nutrition & Dietetic Service in East Oxford.

This is a varied and demanding role that will provide opportunities for developing processes within a friendly team of clinicians and administrators to ensure patient needs are met and that accurate paper and electronic records are maintained.

In this varied role, you will have an active involvement in supporting Trust policies for core tasks, health & safety, auditing and maintaining accurate records. There will be opportunities to work directly with clinicians, minute meetings and develop processes.

You will need be able to work calmly and efficiently in a busy environment, motivating and supporting the administrative team and be able to work autonomously.

The Community Nutrition and Dietetic team supports adults and children across the whole of Oxfordshire, in various settings, including digital consultations and group education sessions.

You will support our clinicians to book appointments, maintain patient records and ensure patient stock levels are maintained.

What we need from you
- To assist the service/team in all administration duties relating to the day to day running of the team/service: dealing with telephone calls, messages and inbox management; photocopying; booking appointments and maintaining stock levels
- Provide a high standard of administration support to the team/service.
- To assist in the provision of high standards of data collection and analysis and ensuring paper and electronic information is updated in a timely manner.
- Organise own workload and act independently within appropriate guidelines.
- To act as a polite and efficient first point of contact for patients/clinicians with daily queries and referrals
- Order, check, maintain and distribute equipment and supplies for the team and other agencies as required (this will include manual handling of stock and equipment and training will be provided).
- Filing, photocopying and distributing of dietary sheets and information
- To accurately type and distribute correspondence, minutes and other documents.
- To take accurate action notes and minutes as required.
- Arranging meetings, maintaining diaries and room bookings.
- To assist other team members in their work as required. Provide cover for reception and clerical team members and provide cross cover within the directorate and across the Trust as required.
- To code and forward invoices for payment.
- Supporting the induction of new members of staff: including IT access and ID badges.
- To support the team with creating and maintaining off-duty/rotas using HealthRoster
- Any other duties commensurate with this role
