The School of Engineering is looking to recruit an Academic Processes Officer (maternity cover) to lead on the production of the School timetable, provide support with, and administer, the calculation of the workload for Academic Staff, manage and administer the examination mark process for the School and support the allocation and monitoring of Graduate Teaching Assistants.

The post holder will be required to have clear oversight of process driven functions that support teaching in the School and regularly review, update and document processes.

**JOB PURPOSE**

To administer the operational management of teaching including timetabling, examination marks and the School workload model and to carry out the associated activities to support this. To develop and implement efficient and effective administrative systems for supporting undergraduate teaching activities to support current and future needs of the School.

**DUTIES & RESPONSIBILITIES**

1. Produce the School timetable on an annual basis (lectures, undergraduate labs, seminars and tutorials) for all taught courses, ensuring that there is a clear process for the production of the timetable, clash checking, coordinating with the centre, taking account of flexible working arrangements of staff and linking the timetable development to teaching duties. Coordinating and consulting with relevant staff in the School and the Centre regarding any changes to the timetable.

2. Provide support with, and administer as required, the calculation of the workload for academic staff via the workload model, ensuring the accuracy of the data that is inputted, flagging anomalies with loads and coordinating with academic managers to ensure that the process followed is fit for purpose.

3. Produce examination board grids, pass lists, decision sheets and other relevant information for examination boards for all taught courses in the School, working with the examination secretaries. Provide module statistical data, process module marks following examination boards and support the data reveal of these marks to students. Advising on examination procedures ensuring the School is fully compliant with University policies.

4. Support the process of assigning teaching duties in a timely manner, ensuring this information is published to staff and available to support the development of the School timetable.

5. Support the academic responsible for the allocation and monitoring of Graduate Teaching Assistants, ensuring this activity is done in conjunction with the timetable, supporting the coordination of the lab timetable and ensuring that there is an appropriate system for students to record their hours worked which links to finance, HR and other administrative processes.

6. Support the School with regards to accreditation - compiling data and information as required and project managing the accreditation process.

7. Maintain oversight of the process driven functions that support teaching in the School, working with the Academic and Student Services Manager to ensure that processes are regularly reviewed, updated and documented.

9. Provide committee secretarial support for relevant committees as required.

10. Other ad hoc duties as required by the Senior Management within the School, including supporting the School at University open days - this will involve occasional weekend working, a maximum of four Saturdays per year.
