**Job summary**:

The purpose of the Administrative Officer is to provide administrative support and advice to the Cost Analysis and Assurance Service (CAAS) Devonport personnel in HMNB Devonport. The post holder interacts with all staff and line managers, as well as the finance team, Defence Business Services and other internal and external departments within CAAS and the wider MOD.

CAAS is an established and professional organisation within the Head Office Directorate of Assurance. We are a collaborative, innovative and inclusive team that provides support, challenge, insight, and assurance to strategic decision making at the heart of Defence. Aligned to modernising Defence and the vision for Finance Functional Leadership, our purpose is to provide pan-MOD Cost Management Functional Leadership and Independent Assurance.

This position is advertised at 22.2 hours per week.

**Job description**:
The administrative assistant will provide general administrative duties to the CAAS Devonport office, which will include but not limited to the following responsibilities:

- The collation and monitoring of the Flexible Working Hours System ensuring the correct policies and procedures are adhered to.
- Ensuring all work produced conforms with the standards set out in Joint Service Policy (JSP) 101 - Defence Writing Guide.
- Advising staff on updates to the MOD Summary of Mandatory Training requirements and ensuring the Mandatory Training System is reviewed and maintained.
- Review and manage the induction process for permanent staff and visitors, ensuring all visitors are escorted as per naval base policy.
- The Management of the CAAS Devonport SharePoint and Teams sites ensuring correct permissions are granted to individuals working on the sites.
- Review and maintain office risk assessments in accordance with Naval Base and Babcock Marine Health & Safety polices.
- Supervise stationery and IT consumables stores ordering and stock controls.
- Responsible for the management of meetings and supervising attendance.
- Assist in the booking of transport and accommodation, ensuring the most cost-effective method in accordance with MOD policy.
- The account holder of the Electronic Procurement Card (ePC) for the CAAS Devonport office and conduct local procurement requirements in accordance with policy and procedures.
- Review and maintain the local Business Continuity Plan.
- Liaise with the building controller ensuring building management is maintained and fault reporting is undertaken in a timely manner.
- Assist in the preparation of internal and external audits as set out in MOD policy.
- To provide Local Security Officer duties to the personnel within the CAAS Devonport office.
- To act as the Information Technology Security Officer to develop and implement local Cyber Security Policy and Procedures (CSPP).
- Monitor and cascade Naval Base and Babcock Marine policy rules and guidance for the operation of the office as a lodger unit.
- Champion departmental people services including but not limited to; health and wellbeing, diversity & inclusion, bullying and harassment.
