**What you'll be doing**:
Workplace Assistant - London

**Shift pattern**: Monday - Friday variable times to meet the business required. Commonly 09:00 - 14:00 or 10:00 - 15:00.

We're currently recruiting a dedicated Workplace Assistant to help ensure the smooth running of the operations in 14Forty on a part time basis, contracted to 25 hours per week.

As a Workplace Assistant, you will provide an engaged and welcoming approach to workplace. The Workplace Assistant will maintain a high standard of customer and visitor care to enhance the experience of attending Digital Surgery.

We are dedicated to providing a high level customer experience and the Workplace Assistant will provide the frontline and face of that experience. You will be fully aware of the service level agreements and will proactively look for opportunities to further enhance the experience.

Supporting the Office & Facilities Manager with duties including, but not limited to; Visitor Meet & Greet, 1 st line support for internal office queries, booking of meeting rooms, booking of visitors, mail and courier services, stationery ordering and distribution, snack item ordering and distribution, fault reporting and a range of administrative task as required / requested.

**Your key responsibilities will include**:
To be polite, professional and friendly at all times with customers, clients and colleagues ensuring the highest level of customer experience.

Taking ownership by demonstrating a can-do attitude towards individual customer and client requests to strive towards exceeding customer expectations.

Delivery and responsibility of daily office activities, ensuring a proactive approach to the overall services - dealing with issues or concerns behind the scenes promptly so there is no impact to the customer experience.

Lead the visitor process providing an excellent experience every time.

Co-ordinate visitor bookings.

Co-ordinate meeting room bookings and requirement, collating data on usage.

Lead the Mail and Courier services for the office.

Ordering and distribution of stationery, snack and drink items as required for the office.

Support with the ordering and delivery of hospitality as required to support client events and meetings.

Support with and be a part of the fault reporting process within the office, ensuring issues are dealt with promptly.

Provide a first point of contact for all office queries, resolving issues and / or updating the customer on actions being taken or providing the information required.

Support the Office & Facilities Manager and / or client representative with all required administrative task. This could include but is not limited to; report writing, purchasing order processing, data collation.

Support ad-hoc emergency cleaning issues as required to ensure a first class workplace environment at all times.

Prepare office signage and communications as required to support the customer experience.

Prepare monthly reports for Compass and Client as required.

Ensure compliance to all Compass and Client processes and policies within your area of control.

Support the Office & Facilities Manager and department Supervisors with all HSE record keeping required by Compass and the client.

Perform any other reasonable duties as required by the Facilities Manager

**Who you are**:
Experience working within a Workplace Customer Service role desirable

An enthusiastic self-motivated individual with a drive & passion for delivering high quality work

Passion for excellent customer service

Excellent organisation, administrative and communication skills

Good IT skills and knowledge of Microsoft Office

Proactive and flexible in approach to customer service

First Aid Trained desirable (we will provide training if required)
