Job brief

We are seeking a highly organised and detail-oriented individual to join our team as an office administrator. In this role, you will be responsible for overseeing the maintenance and operation of our company fleet, as well as managing the purchasing process and purchasing basic items for the office and sites in line with our company processes.

Experience in Microsoft Office is essential (including word, excel, outlook & sharepoint) and experience in Xero is preferable although not essential

**Responsibilities**:
Fleet Administration - Including
- Coordinate and schedule maintenance for all company vehicles and plant equipment (Emergency or scheduled)
- Ensure all vehicles are properly licensed and insured
- Maintain accurate records of all fleet activity

Purchasing
- Manage the purchasing process for office supplies, other simple items and basic site supplies
- Obtain quotes from vendors and negotiate pricing
- Create and issue purchase orders (POs) using Xero
- Track and monitor outstanding POs and ensure timely delivery
- Process invoices for payment upon receipt and verification of purchase order
- Maintain accurate records of all purchases

Health and Safety
- Replenishment of PPE (inc fire extinguishers, hi-vis vests, first aid kits etc)
- Poster packs and H&S advice

Additional Duties
- Feed information from site operatives to relevant stake holders (photos, documents, certificates etc)
- Assist with management of company fixed assets
- Answer and direct office calls
- Manage printing needs for the office and sites
- Manage office phone WhatsApp groups

**Requirements**:

- Minimum 1-2 years of experience in a related role
- Strong understanding of purchasing principles and procedures
- Excellent organizational and time management skills
- Strong communication and interpersonal skills
- Ability to work independently and as part of a team
- Excellent attention to detail and accuracy

Hours
- Monday - Friday - hours tbc
- Full time
- 28 days holiday including bank holidays pro rata
- Office based role

Salary
- From £12.00ph depending on experience
