Position Summary
An exciting new role has arisen for an Office & Events Coordinator Apprentice reporting to the Office & Events Manager. This role enjoys a blended learning approach, combining learning on the job whilst undertaking a Modern Apprenticeship in Business Administration at SCQF level 6 (equivalent to a National Certificate / Highers/ SVQ). Full support will be available to progress to either an SQCF level 8 (Higher National Diploma / Technical Apprenticeship) or Graduate Apprenticeship to obtain an honours degree. This is an excellent opportunity to develop a get a well-rounded learning experience across events, office management and office coordination.
**Job Description**:
Key responsibilities include:
- Delivering an exceptional reception service to all visitors, guests and colleagues arriving and departing the office
- Support the Executive Assistants with administration duties for senior leaders and the coordination of events
- Support the Office & Events Manager & Office Coordinators to provide onsite meeting resource and event activity ensuring high satisfaction levels are consistently achieved; including event administration, coordinating with external suppliers & bar stock control
- Provide event delivery support for onsite evening events at our 100 Queen Street site
- Support the Global Supply Chain team to deliver tours at our Great Western Road site
- Support the front of house, administration and catering requirements at Edrington UK, 191 West George Street
- Look after the reception area and other shared areas to ensure they remain fit for purpose throughout the day and maintain the appearance of a luxury environment
- Attend office management meetings with the Office and Events Manager providing administration support and third party follow up where required
- Manage all mailroom duties, including the opening and distribution of incoming mail, franking outgoing mail and processing DHL parcels
- Oversee the ordering and receipt of all stationery orders, ensuring the most cost efficient and sustainable options are being optimised
- Ensure the bar and display area is correctly stocked and brands effectively displayed / represented
- Manage a number of administrational tasks set e.g. quality audits, asset lists, stationery stock control, post & couriers
Skills and Experience
To take on the challenge of the role you will have an interest in hospitality / events. Previous administration experience and or operational experience in hospitality or an office setting is preferred, however not essential as full training will be provided. To be successful you will have excellent organisational skills with an eye for detail. You will have good interpersonal skills and the ability and confidence to interact with customers both internally and externally.
