Academic Services are responsible for providing services to all students throughout their time at UCL and supporting academic departments and administrative staff in delivering a high-quality student experience. We also play a key role in coordinating UCL’s governance processes and academic quality assurance operations.

The Student Lifecycle team works alongside the Student Records team, setting up programme and module records for all UCL on the SITS information system. Together the teams ensure that all students’ records are set up and maintained within relevant regulatory frameworks throughout their time at UCL. The Student Lifecycle team works closely with Faculties and Departments to ensure appropriate processes are in place to maintain these records from enrolment to graduation, ensuring they comply with the regulatory framework.

Student Records is a busy team at the heart of UCL’s student administration; you will help coordinate the team’s work responsible for student processes from enrolment to awarding of qualifications. An essential part of the role is working closely with Faculties and departments to foster a collaborative approach and understand the academic work undertaken in these departments and how this affects the student records. The post holder will work closely with the Student Record Managers and other Senior Student Record Officers.

**About the role**:
Reporting to the Student Records Manager, the Senior Student Records Officer will provide effective co-ordination of UCL’s processes for student record keeping from enrolment to award, including module selection, assessment marks processing, progression and award for either undergraduate programmes, postgraduate taught programmes or postgraduate research programmes (including specialist doctorates). In addition the role will involve extensive work with academic departments in raising regulatory and process awareness.

Duties and responsibilities
- To be responsible for coordinating the accuracy and completeness of UCL’s student records across the student population (UG, PGT, PGR) and across the student lifecycle.
- To build and maintain effective working relationships with other professional services, academic departments and faculties. To engage with appropriate external bodies, including participating in network or working groups to convey and receive information.
- To act as a key point of contact for students, academic and professional staff on student records, procedures and regulations across all UCL students.
- To work with the Student Records Manager to plan the work and establish the priorities and work for the team.
- To work with the Student Records Manager, analysing suggestions and implementing process improvement where required, and to brief relevant staff in support of any changes made.
- To assist the Student Records Manager in the development, monitoring and review of service standards for the section.
- To maintain an awareness and observation of Fire and Health & Safety Regulations.
- Any other duties commensurate with the grade and purpose of the post.
- Student and Registry Services operate agile working practices which include a clear-desk policy as standard, and opportunities for compressed working hours.

**About you**:
To do this job, you'll need excellent data skills, and you must have experience in using student information systems, particularly supporting curriculum maintenance in a Higher Education setting (preferably SITS).
Excellent interpersonal and relationship-building skills are essential, as is the ability to manage expectations, as this will be a large part of the role. You'll also need excellent attention to detail, to be adaptable to changes in process, and to have a positive "can do" attitude and a commitment to delivering a first-class student experience.
The ability to deal with stakeholders who may be difficult, angry or upset will be useful, though this is not the norm. You will also need to be resilient by nature and delivery-focused.
