Location: The heart of Newcastle City Centre based in an amazing new office

Salary: £28,000

Contract Details: Fixed Term Contract for 6 months

Hours: Monday - Friday 8:30/9am - 4:30pm/5pm with an hours lunch (35 hours per week)

Our client offers a competitive salary, 25 days of holiday plus bank holidays, and a supportive and dynamic work environment.

Responsibilities:

  • Assist the Facilities Managers in preparing monthly and ad-hoc reporting and publications to ensure smooth operations.
  • Provide support to other team members to maintain excellent service and meet contractual deadlines effectively.
  • Produce accurate meeting minutes and action plans within 5 days of each meeting.
  • Assist in organising new starter requirements, including completing necessary documentation and records.
  • Offer guidance, advice, coaching, and direct support to deliver best practises.
  • Act as first line relief cover for FM absences, handling initial calls and inquiries.
  • Log reactive maintenance calls and maintain an accurate log of each call out, while keeping all stakeholders updated.
  • Manage filing and documentation, working with spreadsheets, sales and purchase ledgers, and journals.
  • Pay close attention to detail in order to maintain the professional image of the organisation.
  • Collaborate with other support staff to promote business development, effective teamwork, and colleague support.
  • Communicate with clients and service providers in a polite, helpful, and efficient manner to maintain effective relationships.
  • Answer incoming telephone calls according to department standards and take accurate messages for prompt action.
  • Stay updated on current FM projects to provide the best possible support service to clients and internal departments.
  • Support mobilisation of new contracts, instructions, and properties as required.
  • Coordinate the movements of the team by accessing FM diaries.
  • Arrange appointments and meetings, take accurate minutes when necessary.
  • Create pitch, purchase order, contract, and invoice documents using approved templates and branding.
  • Produce graphics for pitch documents, social media, and print collateral.

Successful applicants must have:

  • Strong Administrative skills and experience.
  • Excellent attention to detail.
  • Proficiency in using document templates and branding to create professional materials.
  • Ability to create and amend presentation materials, design documents, and make improvements.
  • Familiarity with updating online platforms and systems.
  • Strong organisational skills and ability to coordinate multiple tasks effectively.
