**Job Description**:
**Administration Duties will include but not limited to;**
- Provide reception cover and maintain staff location sign in/out sheets
- Distribute security fobs and ensure records are up to date
- Maintain Business Development material on front desk, ensuring this is in date and relevant
- Make arrangements for large external and internal meetings (**not Director diary management**)
- Travel bookings
- Monitor post as appropriate and ensure that all client related correspondence is passed on to the appropriate person
- Assist with the annual Health & Safety inspection, ensuring any action arising are completed and undertake tasks arising from BSI audits
- Liaise with Building Manger on all matters relating to the buildings
- Monitor expiry and renewal dates for compliance related tasks
- Assist wider office administration team as and when required
- Deal with basic client queries and general administration
- Archiving - following company process

**General**
- Order stationery as per company policies and procedures and ensure the cupboards kept tidy
- Maintain the copiers with toner and call out engineer where required
- General administration including copying, binding, filing and other tasks as per the Administrator job description
- Use and update the franking machine when required
- Ensure all post and courier requirements are met
- Take in, record and distribute incoming deliveries

**Meetings**
- Book meeting rooms as requested
- Set up rooms as per requests
- Order refreshments as per company policies and procedures

**Facilities**
- Ensure the environmental database is up to date
- Undertake main fire warden duties

**Finance**
- Raise purchase orders and receipting of invoices

**Local Computer Administration (LCA)**
- Build new starter/staff refresh laptops, taking responsibility for ensuring we have this in place for the new starter’s first day, working IT
- Ensure back up tapes are inserted, filed and returned to IT department in the correct manner, in accordance with company policies and procedures
- Ensure mobile phones for new starters are available on their first day
- Liaise with Daisy engineers regarding maintenance Ensure a stock of spare equipment is available e.g. chargers, keyboards etc

**Qualifications**:

- Team Administrator/Team Secretary already, with extensive experience looking after a large and busy team
- Excellent Microsoft Office skills using Word, Excel, PowerPoint etc
- Professional, highly organised, efficient, reliable, good eye for detail, confident, self-motivated, proactive, good telephone manner, willing to go ‘the extra mile’.
- Works well in a team and can work on their own initiative with minimum supervision.
