About Bellwethers Group

Bellwethers’ purpose is to recruit, support and mobilise leadership networks across economic sectors who can light the way to a green economy. Role Outline

The Executive Assistant will be required to be comfortable working across multiple time zones and cultural contexts to set-up and prioritize meetings, events, and requests to ensure the Executive Director and the Bellwether Leader - each with their own particular needs - is able to function effectively. This role will interface closely with members of the Bellwethers leadership team on a daily basis, as well as high functioning teams at partner organisations and stakeholder groups of both leaders.


Location and Work Authorisation

Team members work remotely and therefore candidates who apply for this role should be independently set up with a suitable environment for working. There will be a requirement for travel from time to time and the successful candidates will be asked to show an up to date travel document.


This role will be ideal for candidates based in the UK from a time-zone perspective, although we will consider applicants based in the Americas or North America. Responsibilities

The right candidate is someone who is seeking a role to simultaneously grow their own professional skills and shape the role itself. She or he will be able to demonstrate experience that reflects the skills and professional standards we seek, whilst also exemplifying a can-do spirit.


Working hours are full-time, generally 9am to 5pm. Some flexibility will be necessary to ensure effective working with a global team.


The key responsibilities of the role are:

  • Manage the calendar and correspondence of the two senior Leaders, each with different stakeholders and priorities, including scheduling and prioritisation.
  • Take actions and minutes at key meetings; keeping actions logs up to date and coordinating with relevant team members.
  • Ensure preparations for all meetings and speaking engagements are in place, with agendas, bios, talking points, and background reading.
  • Prepare memos, talking points, powerpoints, and other documents as needed for briefings.
  • Coordinate travel, including booking travel and lodging, creating detailed itineraries, and assisting with the acquisition of visas or other documents.
  • Ensure expense receipts are submitted accurately and on time.
  • Organize and manage systems for incoming requests for reviews/approvals from team members and other key stakeholders.
  • Provide event support including coordinating invitations and RSVPs, drafting and sending emails, on-site coordination, and other tasks as necessary.
  • Assist with the organization, entry, and maintenance of contacts and other data relevant to the work of the C0-Presidents and the organization.
  • Conduct background research, as needed, and succinctly summarize findings on a timely basis.
  • Provide other operational and administrative support to the team as required.


Person specifications

  • Highly organized, with a track record of strong decision-making and completing short-and long-term responsibilities in a fast-paced, deadline-driven, high volume organization with discretion.
  • Exceptional project manager; track record of designing and implementing effective and efficient systems and processes that deliver excellent results.
  • Motivated by providing exceptional service; anticipates needs, takes initiative, resourceful, problem-solver.
  • Able to problem solve proactively and independently including in an international context.
  • Fluent in spoken and written English (other languages an advantage).
  • Candidates with significant experience working in the Global South and/or one or more of our primary countries of interest (Kenya, South Africa, Brazil, Colombia, or India) are highly desirable.
  • Proficient in G-Suite and Microsoft Office programmes.
  • 3 - 5 years of experience in a similar role.
  • Ability to overlap with at least 4 working hours a day with US East Coast Time Zone.


Salary and Benefits

As a sponsored project of Rockefeller Philanthropy Advisors, Bellwethers is able to offer a competitive compensation and benefits package including health coverage, retirement benefits, paid sick leave, vacation and holidays. The salary range is one component of the total compensation package for employees.

Salary will be commensurate with experience and will be competitive for the location of the successful candidate.
