We are looking for an Executive Assistant to perform a variety of administrative tasks and support Preventx's Chief Executive and senior-level managers.

To be successful in this role, you should be well-organised, have great time management skills, proactive and be able to act without guidance.

Ultimately, you will contribute to the efficiency of our business by providing personalised and timely support to executive members.

**ESSENTIAL DUTIES AND RESPONSIBILITIES**:
Executive Support:
Calendar wizardry: Skillfully oversee the CEO's schedule, ensuring comprehensive awareness of upcoming commitments, including meetings, investor interactions, and presentations.

Stakeholder Engagement: Serve as the primary point of contact for internal and external stakeholders, efficiently managing inquiries and ensuring that matters concerning the CEO receive appropriate attention.

Investor Liaison: Act as the central point of contact for investors, proficiently addressing inquiries and organizing investor meetings with precision.

Proactive Problem-Solving: Anticipate the CEO's needs, streamline processes, and provide solutions in advance of issues arising.

Attention to Detail: Demonstrate unwavering precision, upholding the highest standards of accuracy and quality in all responsibilities.

Administrative Tasks:

- Administrative Excellence: Execute a wide array of administrative tasks, from crafting and refining presentations to managing documents, schedules, and communications.
- Expense Management: oversee and track the CEO's expenses and reimbursement requests.

Meeting Support:

- Meeting Coordination: Prepare comprehensive meeting agendas, materials, and presentations.
- Minutes and Follow-Up: Attend meetings, diligently capture key points in minutes, and ensure the timely completion of action items.

**OTHER DUTIES AND RESPONSIBILITIES**:
Assists in establishing an office culture supportive to business strategy and positive employee engagement efforts.

**QUALIFICATIONS AND SKILLS NEEDED**:
**Education**:

- No formal education required.

**Experience**:
We are seeking an individual who is inherently self-motivated and possesses a strong solutions-oriented mindset. Your track record should reflect experience in effectively engaging with Board members and C-level executives. In addition, you should excel in managing workloads and adeptly prioritising tasks, even within the demanding constraints of a fast-paced, deadline-driven environment.
- Thrives on multitasking: you can deftly spin multiple plates to give the CEO space to focus on big-picture stuff and keep the business humming.
- Unapologetically curious: you will always want to build a deeper understanding of what makes our business tick
- Several years' experience as an Executive Assistant. Ideally in a Private Equity owned organisation, reporting directly to C-level, preferably CEO.
- Tech Savvy: High level of competence and proficiency in office software tools (e.g., Microsoft Office, Google Suite)
- Outstanding organisational and time management skills
- Proactive, adaptable, and detail-oriented
- Discretion and confidentiality
- Ability to influence and work well with others
- Ability to exercise good judgment, tact, and confidentiality in all matters
