Job summary
To be responsible for undertaking a wide range of administrative duties and the provision of administrative support to the multidisciplinary team.
To support staff with the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.
Primary key responsibilities
The following are the core responsibilities of the Data Administrator.
There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
b. File and store records as required
c. Photocopy documentation as required
d. Accurately clinically coding data on Emis Web into the patient record
e. Process changes to patient registration, deduction of record and new patient registration
f. Input data into the patients' healthcare records as necessary
g. Scanning patient related documentation and attaching scanned documents to patients' healthcare records
h. Carrying out system searches as requested
i. Review all clinical letters ensuring they are processed appropriately in line with extant protocols
j. Reviewing records and accurately producing a summary of the patient's medical history
k. Reviewing progress of summarising, ensuring practice targets are achieved
l. Processing referrals using the electronic referral system (ERS)
m. Processing requests for information i.e., SAR, insurance/solicitor's letters and DVLA forms
o. Maintain a clean, tidy, effective working area at all times
p. Support all clinical staff with general administrative tasks as requested
Secondary responsibilities
In addition to the primary responsibilities, the Data Administrator may be requested to:
a. Take part in audit as directed by the audit lead
b. Support reception staff, providing cover during staff absences
c. Book appointments
d. Complete opening and closing procedures in accordance with the duty rota
e. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels
