Job Summary

We are a welcoming GP surgery with two sites in Staines seeking a dependable and enthusiastic individual to join our reception team for maternity cover.

Candidates must possess strong communication skills and be comfortable with computers. We are in need of someone who is self-assured, hardworking, eager to learn, and proactive. Previous experience in a GP practice would be beneficial.

Main Duties of the Job

Key Responsibilities:

  • Booking patient appointments
  • Scanning documents into Docman
  • Referrals
  • Managing out-going prescriptions
  • Handling patient inquiries
  • New-patient registrations
  • Other admin tasks as necessary
  • The post holder will need to have knowledge of IT clinical systems like EMIS Web and DOCMAN, as well as Microsoft Office. They should maintain a polite telephone manner, work well under deadlines, and collaborate effectively within a team.

Job Summary:

To be accountable for a variety of reception duties and providing general support to the multidisciplinary team. Responsibilities include welcoming and directing patients, effectively using the appointment system, booking appointments, processing information, and aiding patients as needed. Acting as the central point of contact for patients, disseminating information, messages, and inquiries for the clinical team, while liaising with various team members and external agencies.

Induction Training

Upon joining the practice, all personnel must complete a practice induction program managed by the Practice Manager.

Staff will partake in mandatory training as directed by the reception manager and the practice training program. They may also pursue external training courses to enhance their expertise, advance their careers, and improve service delivery.

Collaborative Working

Recognizing the importance of teamwork, staff must engage in collaborative efforts. Effective communication is key, allowing information sharing in an appropriate manner.

Service Delivery

Staff must comply with practice policies and regional directives, following protocols consistently. Detailed information on policy and procedure adherence will be provided during the induction process.

Security

Practice security is a collective responsibility. Staff should remain vigilant, report suspicious activities promptly, and uphold the security of the practice.

Leave

All staff are entitled to take leave, and managers must ensure that all staff utilize their leave entitlement.

Primary Responsibilities

The core responsibilities of the receptionist include:

a. Maintaining and monitoring the practice appointment system

b. Handling personal, telephone, and e-requests for appointments

c. Answering incoming calls and directing or managing requests appropriately

d. Guiding patients to the correct service

e. Coding data on EMIS

f. Photocopying necessary documentation

g. Entering new and temporary registrations and relevant patient information

h. Inputting data into patient healthcare records

i. Managing various queries efficiently

j. Executing system searches upon request

k. Maintaining a clean and organized work area

l. Monitoring and managing the reception area

m. Supporting clinical staff with general tasks as requested

Secondary Responsibilities

In addition to primary responsibilities, the medical administrator may be requested to:

a. Participate in audits

b. Provide cover during staff absences

c. Scan patient documentation and attach to records

d. Handle opening and closing procedures as per duty rota

e. Assist The Pharmacy Care Co-Ordinator with repeat prescriptions

f. Manage stationery supplies
