Job summary

The Department of Nutrition and Dietetics is looking for an enthusiastic, hardworking and organised Appointment Co-ordinator to cover maternity leave and to join our well-established Admin and Clerical Team at Royal Stoke Hospital.

You will be part of a team of 7and you will be supporting the clinical dietitians who work across UHNM outpatients services across North Staffordshire. You will support the team with managing waiting lists, booking appointments, managing spreadsheets and validating waiting lists.

We also have a base at County Hospital and we link with our admin team at County Hospital regularly. There may be a need to spend some time at County, however there is a staff shuttle bus that runs hourly between both sites.

Main duties of the job

You will be key to supporting our clinical team to deliver a timely and efficient outpatient service to our patients. We have a number of specialty clinics for adults and children receiving referrals from within UHNM and primary care.

The post holder will be required to oversee outpatient waiting lists and booked clinics including the cancellation and re-scheduling of clinics providing flexibility in the generation of appointment slots to meet service demands, for those clinics falling under the responsibility of the Dietetic Department booking. It is a requirement of the post to provide statistical information around clinic activity. You will be required to liaise with patients and their carers, other departments within the Trust and external contacts as required. The post holder must have the ability to work using their own initiative, having awareness of limitations, as well as working as a team member.

Job responsibilities

The post holder will be required to use electronic patient records/management systems e,g Careflow, I-portal and Medisec Trust

There will be a requirement to book, cancel and re-arrange out-patient appointments ensuring the efficient operation of outpatient clinics, liaising with central booking and patient access teams, to ensure maximum clinic capacity

The post holder will liaise with clinical leads and have responsibility for the administration of opening and closing clinics for annual leave or to respond to waiting list pressures. To complete and submit the necessary documentation and provide assurance that the clinics are administered according to schedule. Working in partnership with Central appointments team.

The post holder will have a working knowledge of Microsoft office including Excel and maintain the up to date information to ensure patients are offered appointments in a timely manner.

The post holder will be expected to exchange information with patients and carers requiring tactand diplomacy via our Dietetic Reception Service. There is also a requirement to communicate

complicated information to other departments and external contacts.

The post holder will be required to use electronic patient records/management systems. This includes adding patient referrals Careflow partial booking waiting lists for Domicilliary referrals.

The post holder will have a working knowledge of Microsoft office including Excel to fullysupport the Dietitians

The postholder will managing the tracker database for Domiciliary Visits appointments validating against Medway waiting lists
