We are looking for a Private Administrator and Junior Medical Typist to provide an efficient and effective bookings administrative service. For this role, you should be able to handle medical information discretely. Our ideal candidate will have experience in the medical sector however this is not essential.

Main duties of the job

To provide an efficient and effective bookings administrative service working within established policies and processes To ensure an exemplary level of customer service is upheld to patients, consultants and clinical team The post holder must be able to show initiative and have the ability to multitask in order to carry out a wide range of patient telephone liaison, administrative and general duties.

Job responsibilities

Toprovide an efficient and effective bookings service independent health careservices, prioritising workload in accordance with business need. To ensureall work is undertaken to the highest standard and in accordance with the KeyPerformance Indicators as specified by Healthshares inhouse targets. This willinclude the management of all administrative tasks and reports. To answerincoming calls in a professional manner and providing an excellent level ofservice to patients To callpatients to book initial appointments, Theatre and arrange follow upappointments To befully competent in the use of Soliton, System One and IEP Toeffectively manage the outcome sheets for each service ensuring therequirements of the consultant are added to system one. Manageroom openings on system one as and when required and also any roomcancellations making sure that all Healthshare private patients are informed aswell as medical secretaries to information their patients. Printtheatre list, labels and any post ops or patient information required byconsultant for theatre procedures Scan anyresults (bloods/diagnostics) or additional paperwork relevant to the patient totheir file To ensurethe correct use of work lists including; scheduling, DNA, cancellation, on holdand flags etc (Soliton). Awaitingconsultation, awaiting diagnostics, FU booked, surgery booked etc (System One) To work collaboratively and provide support with key stakeholders such as Patients, relatives/carers,Medical Secretaries, OperationalManagers and Company Directors, Clinical staff, GPs, Consultants Toco-ordinate with private GPs and consultants including their medicalsecretaries to book appointments and send clinic lists To understand thepreparation and special instructions for particular exams / procedures and toadvise the patient accordingly. To be able to manage privatereferrals daily and input patient information correctly on to the correctsystem (dependent upon clinical referral pathways). To send diagnosticreports with in 48 hours of reporting authorised and deal with criticalfindings as per the SOP in a timely manner To monitor the privateemail accounts and respond to referrals and queries appropriately with in 24hours. To build and maintaingood relationships with patients, medical secretaries, consultants and colleagues(radiographers etc). To demonstrateexemplary levels of customer care and support other team members as requiredensuring consistent high quality communications. To prioritiseworkload. Checkingtest results and ensuring that all diagnostic data is recorded accurately Providingother administrative support such as sorting mail, filing and answering phones Typingpatient outcome letters and ensuring that all relevant information is included To undertake anyfurther duties associated with the position in accordance with servicerequirements. To liaise with Clinical Managers if additional capacityis required in either Outpatients, Theatre or Diagnostics To deal effectively and sensitively with all issues relating to patients in an appropriate, factual and confidential manner. To maintain ahealthy and safe working environment for self and colleagues. To Inform AdministrationManager of any factorsaffecting delivery of service assoon as they arise. To adhere to contract policies and procedureswith regards to booking of patients correctly and into the appropriate clinics. To be proactive in terms of ensuring that all clinics are filled to capacity. All information concerning patients/clients and staff must be treated as strictly confidential at all times. You must maintain a good knowledge of Information Security, Confidentiality and Data protection. To actively communicate with your team members to assist service delivery
