Your Responsibilities

The Partnerships & Events Coordinator is primarily responsible for assisting the Global Partnerships & Events team with communicating and driving engagement and awareness of Private World partnerships, access and events with Vista Members & Prospects.

Reporting to the Global Partnerships & Events Director, the successful candidate will also work closely with the entire Global Partnerships & Events team and greater Vista team to support Event delivery, Partnership relationships, internal and Member communications.

This role requires someone who enjoys a fast paced and dynamic work environment, can collaborate with teams across the global business, is pro-active and can work autonomously and is familiar with the ultra-luxury market.

Supporting our strategic partnerships 

Supporting a wide range of partnership accounts, including travel partners, luxury brands, lifestyle brands, financial Institutions, family offices and more. Helping to identify and vet partnerships opportunities through active outreach, inbound leads, and networking. Management of partner accounts, 3 - 6 months’ check-ins. Supporting on contract negotiations.

Client engagement and travel/lifestyle requests

Liaising with our Client Services team to fulfil VistaJet Member travel & lifestyle requests and ensure high level standard of partner recommendations and service. Integrating partner opportunities within the booking process.  Prepare experiences proposal decks for Members.  Pro-actively informing Members of existing partnerships, events and benefits as part of their onboarding and renewal processes. 

Content generation and curation across Private World channels 

Working closely with the Marketing team to curate partner content relating to travel campaigns and experiences. Helping develop the partner content presented on VistaJet platforms, including the Private World portal, newsletters, and social media.  Liaising with leading properties, yachting brands, and travel designers. Updating our Private World Destinations, Experiences and Events web pages and to drive adoption. 

Events

Maintaining the calendar of global partner activations  Sourcing partner event opportunities and presenting them to clients. Supporting the events team whenever Members are involved (invitations, ticketing, etc).  Curation and guest-list management of Member and Partner events, in collaboration with the global events team. Keeping ambassadors engaged and updated on all opportunities to introduce new prospects. 

Financial and reporting

Working with finance team to ensure all payments are timely invoiced and collected. Reporting to partners on success of each campaign and provide evidence of services offered as per contractual agreement. Collating monthly report for Executive Committee, to keep them abreast of Private World’s successes and pipeline. 

 Perform any other tasks reasonably required to be undertaken in accordance with the instructions of the Reporting Manager

Required Skills, Qualifications, and Experience

Energetic: You are personable, outgoing, and thrive on engaging with multiple stakeholders - both in person and across the organization. Creative: You are comfortable translating brand guidelines into events concepts and partnership activation, and come with fresh ideas on how to build community. Organized: You have strong attention to detail and are comfortable managing multiple projects simultaneously, complex Member requests and competing deadlines. Savvy: You are a flexible marketer who is comfortable with a variety of digital tools and platforms, including: Salesforce, Social Media Platforms, and Performance and attribution tools. Experience working in Partnerships & Marketing position prior. Previous experience working with luxury brands/partners an advantage Excellent communication skills, both orally and in writing. Must be willing to periodically travel for work, including ground and/or air travel. Occasional weekend work may be required for selected events Proficiency in MS suite tools required. Experience working with a sales CRM a plus. Proficiency with various social media platforms a plus.

Bachelor’s Degree strongly preferred.
