**MAIN JOB PURPOSE**:
To ensure groups and events are booked and converted in line with the hotel’s strategy. To ensure the planning, organization and efficient operation of the Groups & Events Department. To organize all aspects of the groups and events processes once receiving the contract and to include pre event logistics, on site event management and post event follow up and billing. To maximize customer satisfaction in order to ensure return of business. To ensure all leisure enquiries and tour series are handled efficiently.

**DUTIES AND RESPONSIBILITIES**:

- To arrange showrounds of the Hotel and all the facilities for new and existing clientele.
- To chase prospect and tentative leisure group bookings for confirmation and conversion.
- To chase definite group bookings for rooming list and create special F&B packages in order to generate increased revenue.
- To be present on the floor throughout the event (whenever that might be depending on the nature of the event) to ensure that all requirements are fulfilled and delivered and any sales opportunities for this event or for the future are exploited.
- To ensure that all accommodation requirements relating to conference business are correctly administrated.
- To prepare all relevant paperwork for the weekly BEO meeting on Thursdays, to ensure that all information is communicated to the other departments.
- To ledger off all accounts within 72 hrs after the event.
- To ensure that the office is at all times manned and all telephone enquiries answered immediately.
- To handle minor guest and customer complaints with precision, speed and with a professional manner, and to the Hotel’s procedure.
- To deal with all internal bookings, as and when requested to the standard set down.
- To prepare and ensure the distribution of the daily function sheets (with diverse account and billing instructions).
- To prepare Leisure Group forecast for the Revenue Manager.
- To sort and deal with all incoming mail on a daily basis and ensure all information is communicated to the relevant persons as soon as possible.
- All leisure enquires to be answered within 4 hours wherever possible or 8 working hours as a maximum and put in the system.
